Purpose And Scope:

  • The role will work in partnership across multiple stakeholders; geographies and time zones to deliver HR Projects across HR Operations that will drive world class HR operational and transactional services to Astellas employees globally.
  • The role will be responsible for supporting the Global HR Projects Lead in managing the Global HR Operations projects portfolio (both transformation and continuous improvement initiatives/projects) to improve visibility of all Global HR Operations projects and support senior stakeholder decision making around priorities.
  • The role will contribute to the development and implementation of the overall HR strategy to maximise cost effectiveness, align with business needs and in compliance comply with legal requirements.
  • The role will be responsible for a portion of the overall Global project portfolio and will oversee the implementation of continuous improvement projects, within this portfolio.
  • The role will be responsible for the reporting of established projects to monitor and track status, risk and support broader demand and resource planning.
  • The role will contribute to identifying improvement opportunities which will increase efficiency, reduce costs and thus contribute significantly to meeting overall business objectives.
  • Will act as a change agent and champion for the Global HR Operations Model.
  • Will work closely with other HR Operations teams, across the broader HR function and directly with the business.

Key Accountabilities:

Key Deliverables:

Drive a Globally Consistent Approach to Project Management across HR Operations:

  • Provide expertise and planning support to global HR teams for key strategic initiatives/projects
  • Drive the implementation of standard tools across the team – ensuring we have a unified approach to project management and can manage expectations from our stakeholders

Monitoring Of Portfolio Of Projects:

  • Drive regular status reporting from this dashboard to provide an overview of key project activities, timelines, resourcing, and budgeting requirements
  • Ensure all projects have detailed project timelines, approach documents and relevant governance established to drive project activity
  • Act as an advisory point for projects that are being conducted and staffed with central resources and offer support on an ongoing basis including agreeing scope, evaluating progress / quality and managing issue resolution

Provide Project Management Expertise:

  • Provide planning support to global HR teams for key strategic initiatives/projects
  • Ensure agreed projects are managed effectively, on time, budget and with effective change management and communications
  • Ensure the process library, documentation and knowledge management for all cyclical activity to ensure the integrity and on-going delivery of these activities
  • Effectively identify and mitigate project risks to ensure they remain on track to achieve desired aims

Team Management:

  • Ensure that Project Delivery Specialists are communicated with and informed of all new information relating to HR products, procedures, projects, customer needs and specific business needs
  • Build and maintain a working environment that promotes teamwork, quality, and productivity
  • Support and coach Project Delivery Specialists to continue to develop capability, expertise as individuals across the team
  • Promote training, personal growth, professional development, and career progression of the team

Ways Of Working:

  • Located within a commercial cluster – expected to build relationships with the business and with broader HR.
  • Provide group wide HR project management capability to support HRBPs and CoEs in delivering value and benefits from large scale projects across HR.
  • Collaborate with HRBPs and business leaders to drive forward project management capabilities and use of best practice methods.
  • Champion the effective use of statistical methods through leadership, training and consultation to drive service excellence and customer orientation, exceeding expectations of customers.
  • Collaborate with Continuous Improvement specialists to identify opportunities to improve the service provided by HR.
  • Develop strong communication channels, through regular feedback and team huddles which ensure all stakeholders understand priorities, are informed of changes and have up to date business information.
  • Act as a ‘Change Champion’ supporting the business to embrace change and ensure that change limits as much disruption to the organization as possible.

Organizational Context:

  • Management of circa 4 direct reports
  • Delivery of Projects across multiple countries and time zones

Qualifications:

Required:

  • Substantial experience in a leadership position encompassing HR, customer service and project management.
  • Sound knowledge and experience across core HR functions (e.g. Compensation, Benefits, Performance Management, etc.) with substantial experience in HR process design, transaction support and employee administration within a multinational organization – across geographical regions.
  • Extensive experience in transaction management.
  • Sound knowledge and experience of HR metrics and their applicability.
  • Excellent written and oral communication skills in English.
  • Experience in the development and implementation of a range of continuous improvement projects, including both technology and process improvement in a cross-cultural, multinational setting.
  • Strong knowledge and experience Project Management Tools and Techniques.
  • An in depth knowledge and understanding of the HR employee lifecycle.
  • Good understanding of employment law, its application and best practice.
  • Proven excellent people manager with an ability to lead and motivate a team.
  • Experience of coaching employees and managers on employee lifecycle processes.
  • Experience of delivering to customer service targets within a complex environment.
  • Ability to multi-task and alter direction easily to accommodate changing priorities.
  • Sound judgement to manage conflicting priorities and manage client expectations.
  • Experience of creating and managing a budget.
  • Chartered MCIPD or equivalent qualification, or equivalent HR experience.
