Job description

As a Documents Specialist with our Houston Properties Team, you'll play a pivotal role in facilitating smooth real estate transactions. Your responsibilities will include:

  • Manage real estate transactions from contract to closing, including drafting and processing necessary paperwork such as agreements, contracts, and amendments.
  • Coordinate schedules and ensure transaction deadlines are met, while maintaining accurate client and transaction information in the system.
  • Work with clients and real estate agents to gather necessary documents and assist with transaction-related requests.
  • Monitor and maintain quality and accuracy in all transactions and files, promptly flagging agents about potential delays, problems, and missing documents.
  • Communicate important updates to other departments and all parties involved, ensuring timely completion of tasks and up-to-date information on the Success Team Dashboard.

Requirements

To excel in this role, we're seeking candidates who possess:

General Requirements:

  • Strong work ethic and self-motivation.
  • Excellent English communication skills (both verbal and written).

Minimum Qualifications:

  • At least a high school diploma, not currently studying.
  • Full-time availability with no conflicting commitments.
  • At least 2 years of experience in a real estate company or working for an individual real estate agent as a real estate virtual assistant or transactions coordinator.
  • Experience in Texas real estate is a plus, but not required.

Tech Requirements:

  • Processor: Intel Core-i3 (8th generation onwards) or equivalent AMD Ryzen or Apple M1 chips (preferred Intel Core-i5)
  • Memory: 8GB+ RAM.
  • Hard Disc Drive Space: At least 1GB.
  • Operating System: Windows OS (Windows 7 or later) / Mac OS (Mac OS X 10.8 or later).
  • Internet: Main connection with at least 50 Mbps (fiber or DSL) and a backup connection with at least 20 Mbps.
  • Headset: Noise-canceling headset with a microphone.
  • Working camera/webcam for virtual meetings.

Technical Skills:

  • Basic knowledge of Dropbox and MS Outlook.
  • Proficiency in creating, editing, and managing Microsoft Word and PDF documents.
  • Intermediate knowledge in DotLoop, DocuSign, and ZipForms (or equivalent).
  • Knowledge in processing commissions through KW Command is a plus, but not required.
  • Familiarity with har.com, Matrix or any MLS system is a plus, but not required.
