Vendor Management Supervisor

12 Month Fixed-Term Contract

About the team:

The Legal Due Diligence (LDD) team is a small team within the wider Office of the General Counsel (OGC) team.

The team is responsible for centrally managing the due diligence of all third-party vendors that Fragomen uses world-wide. The LDD team is based within the UK and the OGC team is spread around the world.

About the role:
This role sits within our in-house legal team (the Office of the General Counsel), reporting to the team’s Associate General Counsel for the LATAM region. The Vendor Management Supervisor is responsible for vendor management and due diligence from a compliance and legal perspective, for the firm globally. Working closely with stakeholders and other members of the legal team in the UK, Singapore, US and Costa Rica.  

Fragomen seeks an enthusiastic, dedicated and pro-active Vendor Management Supervisor, keen to develop a career in a fast paced, international environment.  

Areas of key focus:

  • Manage the Legal Due Diligence (LDD) team effectively, provide the appropriate direction, and advice and make final decisions on projects and day-to-day/vendor due diligence questions.  
  • Project Management: oversee all LDD projects internal to the team as well as any we are involved with for the wider firm. 
  • Strong understanding of what is involved in legal due diligence for a global firm like Fragomen.  
  • Awareness of cybersecurity and data privacy due diligence topics with regards to vendors.  
  • Act as key contact for the firm for all vendor related matters. For example, external and internal audits, general questions and summaries regarding the process, and collaborating across the firm with stakeholders and team leads on various projects. Collaboration and teamwork is crucial – whilst also understanding how to balance business needs with legal requirements. 
  • Able to learn our process well and improve how our process is linked to other teams within the firm.  
  • Make improvements and adaptations to the process where necessary but with the consideration of the firm’s legal requirements, client obligations and knowledge of how any changes affect other teams. 
  • Monitor and manage progress on team workload (and the backlog task).  
  • Provide metrics, updates and presentations when required.  
  • Coordinate regularly with a wide range of teams but mostly, the Data Privacy Office (DPO), Finance, and Cybersecurity Due Diligence (CDD).  
  • Managing third party vendors: Respond to inquiries from vendors and manage any issues.
  • Sanctions: Be aware of the risk of Sanctions in our due diligence process and conduct the required background checks, raising any high risks to the relevant team member. Manage World-Check admin account for the firm.  

General:

  • To generate clear, well-organised written work-product internally and externally.
  • To effectively express oneself verbally in an articulate and polished manner.  
  • To communicate to influence and achieve objectives of strategy of the Office of General Counsel. 
  • To ask for the necessary information to complete tasks with respect to oneself and on behalf of team members where required.  
  • To keep manager aware of the progress of matters to manage expectations and inform of conflicting priorities/requesting assistance as problems arise/informing manager of current capacity.  
  • Experience using a vendor management tool would be ideal (like OneTrust).  
  • Experience using SharePoint for various processes would be preferred. Alternatively, being able to learn your way around a new system quickly and adapt to new process flows.  
  • Making sure the process stays lean and streamlined for maximum efficiency and productivity instead of becoming overcomplicated.   
  • Experience and ability to supervise people and keep them aligned with goals and deadlines as expected, as well as manage projects the team is involved in. 

About you:

You have experience in a legal or professional services environment and are seeking to build your experience within an in-house legal function.  

Also required: 

  • LLB qualified or similar strong academics. 
  • Relevant experience working within a law firm environment. 
  • Excellent attention to detail. 
  • Solid knowledge of legal and commercial risks that would affect Fragomen if we were associated with a company that is non-compliant with our standards (i.e. anti-bribery and corruption, sanctions, data privacy etc).
  • Ability to identify those risks and red flags and consult with attorneys on the legal team on next steps. 
  • Ability to make decisions confidently for the team based on that legal knowledge. Equally important to know when advice from an attorney in the legal team is needed. 
  • Achieves a high level of productivity 
  • Multitasks in a fast-paced environment with competing demands. 
  • Meets assigned deadlines. 
  • Is able to accomplish the goals and meet the deadlines assigned by senior members of staff.  
  • Develops strong working relationships with team members, firmwide staff and key stakeholders and gains their confidence through displaying professionalism and efficiency in all communications. 
  • Must be a quick learner and adaptable. 
  • Must be a clear communicator, both written and verbal. 
  • Ability to manage successfully several projects at a time.

Both offices are centrally located in their respective cities, with the Sheffield office having the added bonus of free on-site parking.
