Job description

This is a remote position.

We are seeking a dynamic and organized Chief of Staff to join our team. The ideal candidate will be a strategic thinker with excellent communication skills and a proven track record of successfully managing complex projects. As the Chief of Staff, you will report directly to the CEO and play a key role in driving the company's growth and success.

As Chief of Staff, you will provide excellence by:

  • Project Management:

    • Create reporting summaries for project spend, hours, productivity, and timeline to track and optimize project performance.

    • Set up meetings, including scheduling, agenda creation, and follow-up actions.

    • Manage coordination between the accounting team and global teams, including teams in India.

  • Recruitment and Staffing:

    • Lead recruitment efforts for clients, focusing on project-based roles and staff augmentation.

    • Organize and maintain a staffing database to ensure efficient matching of talent to client needs.

    • Manage LinkedIn outreach efforts to expand our network and reach potential clients.

  • Process Optimization:

    • Set up and manage ClickUp, our project management tool, to streamline workflow and enhance team collaboration.

    • Document Standard Operating Procedures (SOPs) to ensure consistency and efficiency in our processes.

  • Client and Employee Onboarding:

    • Oversee employee onboarding process to ensure smooth integration into the company.

    • Oversee the client onboarding process to ensure a seamless transition from sales to delivery.

    • Set up Kickoff Calls for new projects to align stakeholders and establish project goals.

  • Sales Support:

    • Manage the handoff process from the Sales team to the Delivery team to ensure client expectations are met.

    • Review and refine the Sales Deck to ensure it effectively communicates our value proposition to clients.



Requirements

You are an exceptional thought leader with an impressive operational and organizational background. You have the ability to keep up with a fast-paced environment that requires a lot of versatility and multi-tasking across different types of projects. You bring a combination of Process Improvement and Project Management expertise. You are able to identify gaps and propose solutions even on Day 1. You take the initiative, and you provide the best possible recommendations for any issues at hand. You take pride in your attention to detail and your ability to identify any foreseeable issues and propose corrective action plans. You are a confident and excellent communicator who is not afraid to ask questions, share ideas and express suggestions for the continued success of the organization.

Consider yourself highly qualified if you have:

  • At least 10 years of experience as a Chief of Staff, Project Manager, General Administrative Manager or similar in a professional services industry

  • Effective stakeholder management and can drive collaboration across multiple functions

  • Proven ability in creating SOPs and documentation

  • Extensive experience in implementing and improving processes across departments

  • Exceptional communication skills both in written and verbal form

  • Demonstrated ability to organize and prioritize tasks and responsibilities in a fast-paced and deadline-oriented virtual business environment.

  • Program planning and implementation skills

  • Must be presently residing in the Philippines


Expected Work Hours and Time Zone

You are expected to work 40 hours per week Mondays to Fridays, with fixed weekends off. You will be strictly following US business hours.
