Your Job

As a Canada Payroll Specialist, your responsibility is to oversee and manage all aspects of payroll processing for Koch Industries in Canada. Your role involves ensuring accurate and timely payment of wages to employees, compliance with Canadian payroll regulations, and maintaining confidentiality of sensitive employee information.

What You Will Do

  • Understand and apply on our culture of Principle Based Management®
  • Support team on providing an exceptional consumer experience for all employees.
  • Quick in learning technology and be able to provide Payroll processing and transactional support to all employees, managers, and the HR community (our consumers).
  • Collaborate with other KBS HR Solution Center supervisors to share best practices, innovation opportunities and overall process and tool improvements.
  • Payroll Processing: Accurately process payroll for Canadian employees, including the calculation of wages, salaries, overtime, bonuses, and deductions. Ensure payroll is processed on time and in compliance with relevant laws and regulations.
  • Compliance: Stay updated on Canadian payroll legislation, tax regulations, and employment standards to ensure compliance. Ensure payroll processes align with federal, provincial, and local requirements.
  • Benefits Administration: Administer employee benefits programs such as health insurance, retirement plans, and other employee benefit offerings. Collaborate with benefits providers and assist employees with inquiries related to benefits.
  • Payroll Reporting: Prepare and distribute payroll reports to relevant stakeholders within the organization. Generate reports related to payroll taxes, deductions, and other payroll-related metrics as required.
  • Issue Resolution: Investigate and resolve payroll discrepancies or issues in a timely manner. Respond to employee inquiries related to payroll, taxes, and deductions promptly and courteously.
  • Recordkeeping: Ensure accurate and organized payroll records, including employee information, pay statements, tax documents, and other relevant payroll documentation. Maintain confidentiality and security of payroll information.
  • Audit and Compliance: Participate in internal and external audits related to payroll. Collaborate with auditors to provide necessary documentation and ensure compliance with audit requirements.
  • Continuous Improvement: Identify opportunities to streamline payroll processes, improve efficiency, and enhance the overall payroll experience for employees. Proactively suggest and implement process improvements.


Who You Are (Basic Qualifications)

  • The ability to fluently speak, read and write in English.
  • Bachelor’s degree or equivalent
  • A minimum of three (3) years of strong experience in processing Canada payroll process and transactions (Payroll processing Garnishments; Time file upload, Off cycle payroll, Stop and reissue)
  • Should have a good understanding of basic data fields in Payroll HR Information System and workflows.
  • Experience using MS Office (Outlook, Word, Excel)
  • Experience communicating with all levels of an organization.
  • Experience researching, troubleshooting, and resolving consumer inquiries.
  • Experience collaborating and working on a team with a high level of accountability for self and others.
  • Experience working with any HCM and payroll platforms (Infor, SAP, ADP, GreyTHR etc.) and Case Management System (ServiceNow, etc.)


What Will Put You Ahead

  • Knowledge of Canadian Payroll Regulations: As a payroll specialist, it is important to have a solid understanding of Canadian payroll laws and regulations. This includes familiarity with federal and provincial tax rates, statutory deductions, employment standards, and other payroll-related legislation.
  • Payroll Systems and Software: Proficiency in using payroll software and systems is essential. Familiarity with popular Canadian payroll systems such as Ceridian, ADP, or other similar platforms is advantageous. Additionally, being able to generate reports, analyze data, and troubleshoot system issues is valuable in this role. Solid understanding of how data flows between systems, identify root cause & implement preventive measures.
  • Attention to Detail: Accuracy is critical in payroll processing. Payroll specialists need to pay close attention to details, ensuring that all data is entered correctly, calculations are accurate, and deductions are applied appropriately. This helps avoid errors and ensures employees receive correct compensation.
  • Understand overall Vision: How the team creates value for the enterprise, both now and in the future, as the team grows and develops additional HR capabilities.
  • Confidentiality and Data Security: Payroll specialists handle sensitive employee information, including personal details, compensation, and tax data. Maintaining confidentiality and adhering to data security protocols is of utmost importance to protect employee privacy and prevent any unauthorized access.
  • Comfortable delivering against quantitative and qualitative performance metrics.
  • Proven ability to work professionally and proactively with a remote stakeholder base.
  • Comfortable supporting different time zones/shifts and skeletal staffing during public holidays
  • Comfortable supporting different time zones/shifts. (6pm – 3am IST)
  • Solid understanding of how data flows between systems and a desire to root cause when something goes wrong.
  • Ability to handle high volume of transactions/work and handle and prioritize competing demands
  • Curiosity, willingness to challenge (for example, if request is submitted with a certain wage type that doesn’t seem consistent with the request- challenge).
