JOB SUMMARY: 
 
THIS IS NOT A REMOTE ROLE. Reporting to the Director of Operations, the Senior Purchasing Agent is responsible for purchasing materials to support the organization’s procurements needs ensuring an effective, efficient cost-savings. Follows company policies, procedures and practices related to procurement.   
 
ESSENTIAL DUTIES AND RESPONSIBILITIES: 
  • Responsible for placing purchase orders via the department’s software system in accordance with Company policies and procedures  
  • Developing and initiating cost-saving procurement initiatives.
  • Training and mentoring junior purchasing agents.
  • Secure favorable terms with suppliers.
  • Establish a solid rapport with the Service Managers and Technicians within your assigned region to ensure efficient communication. 
  • Communicate with field employees and customers on required quotes and/or equipment purchases. 
  • Communicate with suppliers, customers, and internal stakeholders to provide status and ETA on all quotes/purchase orders 
  • Resolve pricing and invoice issues with suppliers/vendors in timely manner while adhering to customer service guidelines  
  • Monitor and problem solve via phone calls that come in on a daily basis.  
  • Responsible for reviewing and ensuring compliance with customer contract requirements and executing within established guidelines  
  • Responsible for maintaining appropriate inventory levels at assigned warehouse locations  
  • Pack and ship equipment as needed. 
  • Receive parts and equipment and update database for proper tracking. 
  • Prepare, analyze and negotiate quotes with suppliers for efficient delivery of products and services to our customers 
  • Responsible for verifying orders are placed and tracked with preferred vendors via approved supplier list 
  • Create and maintain departmental lists and databases 
  • Performs work with an awareness of process improvement and notifying supply chain leaders of any potential or existing issues  
  • Update 3rd party systems accordingly  
  • Coordinate with other internal departments to help schedule jobs. 
  • Track and monitor equipment return process. 
  • Other duties as assigned 
  • Knowledge of Sage, GP and/or Netsuite ERP systems is preferred.  
ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES, AND COMPETENCIES: 
  • Excellent customer service skills with both internal and external customers. 
  • Prior work experience managing a tea; demonstrated strategic planning skills.
  • Proven track record of successful supplier negotiations and cost reduction strategies, including rebate agreements.
  • Knowledge of Refrigeration, HVAC, Plumbing, and Energy/Cogen products and service purchasing policies and practices  
  • Ability to communicate effectively, both verbal and in writing   
  • Ability to identify purchasing trends. 
  • Proficiency with Microsoft office automation products such as Word, Excel, Access  
  • Detail-oriented  
  • Ability to work independently and in a team-oriented environment  
  • Proficient typing skills to properly document dictation to update systems  
EDUCATION, EXPERIENCE AND/OR LICENSES: 
  •  Associates degree or equivalent work experience
  • 2 to 4 years purchasing experience within a similar industry REQUIRED
