Position Description

As a member of a fast-paced, innovation-oriented and growing team, this position will manage and lead the design and delivery of a portfolio of HMS Corporate Learning and Executive Education programs. The Program Manager will work closely with clients and key stakeholders, Harvard Medical School faculty and other members of the Corporate Learning team to ensure all aspects of the Corporate Learning experience are designed and delivered successfully. The position reports to the Associate Director of Program Management.

Specific Responsibilities: **

Program Management and Delivery**

  • Independently manages a mixed portfolio of in-person domestic programs, in-person international programs, and live-virtual Corporate Learning programs from the planning process through to completion and beyond.
  • Planning includes curriculum design and development, logistics management, program analysis and project management.
  • Analyzes program content and materials and recommends improvements to the Faculty Director.
  • Directs the work of Program Coordinator(s) and other staff assigned to the program. Provides coaching and feedback as necessary to develop staff and ensure program success.
  • Reports out on program survey analytics to measure and evaluate program success and initiates action as needed with faculty on necessary session adjustments.
  • Negotiates with vendors to contract for program-related goods and services and collaborates with Program Operations when necessary.
  • Manages the development and review of program marketing materials. Manages and hosts online webinars and programs sessions.
  • Manage, triage, and escalate issues or emergencies in real time.
  • Identify and escalate any branding, use of Harvard’s name, or copyright issues while working with partner institutions.

Client and Faculty Relationship Management

  • Leads the day-to-day client relationship for customized programs, including managing scope and other commitments, leading project status meetings, taking the lead in responding to client requests and resolving client concerns and issues in a timely way.
  • Independently develops and manages strong working relationships with faculty and staff associated with the program, including regularly informing stakeholders of program related activity and decisions.
  • Generates faculty director contracts and aids in their onboarding.
  • Works with program directors’ and faculty to develop course objectives, syllabus and curriculum content.
  • Oversees the collection and organization of educational materials and components for courses LMS.
  • Manages speaker arrangements and ensures proper event timeline, often coordinating across multiple time-zones.
  • Effectively collaborates with OEE and Harvard staff (internal stakeholders such as Program Operations, Marketing, Finance Operations, and Technology) broadly to ensure programs and collateral are organized, marketed, budgeted, and branded properly.

Budgeting and Financial Reconciliation

  • Manages financial aspects of a portfolio of programs including overseeing an established budget to achieve financial goals.
  • Troubleshoots, investigates, and resolves all financial inquiries and issues.
  • Reconcile all program expenses and ensure final invoices align with contracted and negotiated rates.

General

  • Works with the Associate Director to ensure and recommend new workflows, work tools, and processes efficiently support program implementation and provide an optimal client experience.
  • Assists in planning and implementing strategies to improve programs and department processes, policies and procedures.
  • Ensures compliance with University policies and procedures and applicable legal rules and regulations. This position has the potential to supervise and manage a person or team in the future.
  • Other projects as assigned.

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 5 years’ relevant work experience

  • Work experience with proven project management skills and the ability/flexibility to handle multiple projects simultaneously
  • Ability to work independently
  • Experience collaborating across a team and bringing projects to fruition
  • This position requires excellent relationship management skills and a willingness and ability to work with multiple groups within the Office for External Education in a fast-paced, high-energy environment
  • Strong written and verbal communications skills
  • Strong customer service skills
  • Proficiency with Microsoft Office, Outlook, Zoom, and the ability to navigate multiple technology systems
  • Prior experience in an academic environment is preferred
  • Ability to assess and learn new technologies quickly
  • Foster a culture of community, equity, diversity, inclusion and belonging among staff and learners

Physical Requirements

  • Sitting using near vision use for reading and computer use for extended periods of time
  • Lifting (approximately 20 to 30 pounds), bending, and other physical exertion

Work Format Details**

This position is based in Boston, but the work may be done primarily remote. Any remote work must be performed in a state in which Harvard is registered to do business (CA, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. Note: Harvard employees working in California must be exempt. **
