Sales Support Specialist at Sequential/Oberheim

Status: Full-time (40 hours), non-exempt, hourly paid

Location:  California, US

Salary: $40-$60k pa + excellent benefits, depending on experience and location

We need a customer-focused and responsive sales support specialist to help process orders for our premium synthesizers while maintaining strong relationships with our global dealer and distributor channel partners.

About the Role:

This position is US-based but can be performed remotely from within the US. Candidates based in US West Coast time zone strongly preferred. The role requires a detail-oriented, self-starting, fast learner, with excellent commercial skills, strong verbal, and written communication skills, with a focus on customer service.

Passion for music technology welcome, but not essential. As an hourly paid position, this role sometimes involves paid overtime work.

Duties & Responsibilities:

  • Respond to incoming purchase orders from customers and the global Focusrite sales team via email and phone to ensure rapid and accurate order fulfillment:
    • Establish and maintain positive and productive business relationships with internal and external customers.
    • Review purchase orders for accuracy.
    • Provide product availability information.
    • Provide order status updates.
  • Accurately enter sales orders in NetSuite to ensure customers receive the right products quickly:
    • Process customer purchase orders, monitoring any holds on the customer account and working with the finance department to release them.
    • Determine whether sales tax applies to each order.
    • Determine whether freight charges apply to each order, and if so, invoice appropriate freight charges.
    • Set and communicate the appropriate freight method for the order.
    • Send order acknowledgments and shipment estimates to sales team and customers.
  • Manage and expedite open orders.
    • Help ensure that eligible orders ship on time by collaborating closely with Sales, Operations, Manufacturing, and our 3PLs to resolve issues preventing shipment.
    • Update estimated shipping dates.
    • Follow-through on orders to completion, including ensuring payments.
    • Compile info on back orders and reallocate stock where necessary to optimize sales
  • Additional administrative work as needed.
    • Assist with the new customer setup process.
    • Work across other Focusrite group companies to support their order processing needs.
    • Assist in compiling sales data for forecasts, shipment tracking, month-end reconciliation
    • Assist with the accounting coding of charges relating to the fulfilment and shipping of orders.
    • Other duties as assigned by management

Required Skills & Education:

  • Experience with NetSuite required
  • Intermediate skills with Microsoft Office (Word, Excel, Outlook, Teams)
  • Positive attitude and ability to establish customer rapport and build relationships.
  • Ability to work remotely with minimal supervision in a fast-paced environment.
  • Proactive and accurate verbal and written communication to internal and external customers.
  • Excellent listening and problem-solving skills.
  • Excellent organizational skills and proven ability to multi-task.
  • Flexibility to work cross-functionally and contribute to a rapidly changing business environment.
  • 2+ years customer service and/or sales administration experience
  • Basic Professional Audio product knowledge and/or exposure a plus
  • Music Industry exposure gained through school, past work history or personal performance a plus.

Location:

This is a remote position. The Sequential/Oberheim office is in North Beach, San Francisco, and our inventory and logistics are primarily managed from within California, so we prefer someone on the US West Coast time zone.
