About the Role

We’re hiring a Travel Operations Specialist to manage hotel reservation confirmations and credit card authorization workflows. This behind-the-scenes role involves direct communication with hotel staff to secure and verify bookings, ensure payment authorizations are processed correctly, and independently resolve issues that arise.

You’ll also contribute meaningfully to product QA during quieter periods by testing internal tools and reporting bugs. This role is ideal for a resourceful generalist who thrives in multi-functional roles involving operations, communication, and internal support.

What you’ll do

  • Hotel Coordination and Booking Finalization

    • Contact hotels to confirm bookings and request credit card authorization forms.

    • Complete and submit required payment forms accurately and according to each hotel's process.

    • Follow up with hotel staff to ensure receipt and confirmation of authorization documents.

    • Independently resolve any issues where hotels report missing or unclear authorizations.

  • Payment Handling and Documentation

    • Manage sensitive payment details with discretion and strict confidentiality.

    • Maintain organized and accurate records of all transactions and communications.

  • Quality Assurance and Support Tasks

    • Own portions of QA testing by following structured protocols and proactively identifying bugs or areas for product improvement.

    • Support process documentation, workflow reviews, and internal audits as needed.

    • Provide feedback to improve tools, systems, and operational processes.

  • Cross-Functional Collaboration

    • Collaborate with other teams to streamline workflows and enhance service delivery.

    • Take on ad hoc operational tasks or support roles based on business needs.
