This is a remote position.

Role Name: Bookkeeper & Administrative Assistant

Schedule:

  • 40 hours per week, Monday to Friday 9am to 6pm New York time with 1 hour of unpaid break
  • Eastern Time Zone

Job Description

This is an exceptional opportunity for an experienced bookkeeper to join a thriving real estate enterprise where you’ll manage the financial operations of both new construction projects and ongoing property management activities. You’ll play a crucial role in maintaining accurate financial records for cost segregation in construction projects while simultaneously handling the day-to-day bookkeeping needs of residential rental properties. Beyond traditional bookkeeping, you’ll contribute to operational efficiency through administrative support, scheduling coordination, and helping develop standard operating procedures that will shape the company’s future growth. This position offers the perfect blend of accounting expertise and administrative versatility in the dynamic real estate industry.

Responsibilities
  • Manage comprehensive bookkeeping for new construction projects, including specialized cost segregation tracking
  • Handle all financial record-keeping for residential property management operations across multiple properties
  • Learn and master JobTread software for project management (fully integrated with QuickBooks Online, with excellent training resources provided)
  • Coordinate scheduling and administrative tasks across both construction and property management divisions
  • Assist in developing and implementing standard operating procedures (SOPs) for both business segments
  • Track and manage maintenance schedules for properties on weekly, monthly, quarterly, and annual cycles
  • Provide versatile administrative support to optimize business operations
  • Collaborate directly with the business owner to streamline processes and improve operational efficiency
  • Maintain accurate financial records across multiple LLC structures

Requirements
  • Proven experience in bookkeeping and accounting, preferably with US-based companies
  • MUST HAVE A WINDOWS OS COMPUTER
  • Background in real estate, property management, or construction industries strongly preferred
  • Proficiency with QuickBooks Online is essential
  • Enthusiasm for learning new software systems and adapting to evolving business needs
  • Strong communication skills and ability to work independently with minimal supervision
  • Flexibility to handle diverse responsibilities beyond core bookkeeping functions
  • Experience working in Eastern Time Zone preferred for optimal collaboration
  • Self-motivated professional who can bring existing knowledge and best practices to help grow the business
