The Operations Coordinator plays a key role in organizing and supporting daily business activities across retail, warehouse, and e-commerce functions. This role ensures that tasks are completed, reports are prepared, and internal processes are followed and improved where necessary. The coordinator also works closely with the CEO and serves as a liaison with technical freelancers (ERP, e-commerce, mobile app), helping bridge execution gaps and maintain operational clarity.
Key Responsibilities:
Daily Operations Coordination
Track routine tasks and daily activities across stores, the warehouse, and online orders.
Follow up on stock movements, warehouse receipts, and replenishments.
Support operational readiness for seasonal campaigns or product launches.
Monitor SOP compliance and flag process gaps for improvement.
Reporting & Documentation
Extract and prepare regular reports from the ERP system (sales, stock, performance).
Maintain organized and up-to-date SOPs, forms, and company templates.
Compile and summarize KPI data into weekly or monthly reports for leadership.
Process & Policy Support
Assist in drafting and rolling out policies and procedures across departments.
Keep checklists and workflows up to date (e.g., onboarding, product flow, audits).
Schedule recurring tasks and follow up with departments on completion.
Technical & Systems Coordination
Act as the main point of contact between internal teams and external freelancers or agencies for ERP, mobile app, and e-commerce upgrades, integrations, new developments, and technical issues.
Coordinate internally with relevant departments.
Test and verify system updates or changes before deployment.
CEO Support & Cross-functional Follow-up
Attend key discussions with the CEO and follow up on assigned action items.
Coordinate across departments to ensure timelines are met.
Identify inefficiencies and propose small-scale improvements.
Bachelor’s degree in Business Operations or a related field.
2–4 years of experience in retail operations, coordination, or administrative support.
Strong command of Excel (pivot tables, lookups, data cleanup, and formatting).
Strong communication and documentation skills, with the ability to convey information clearly and maintain organized records.
Familiarity with ERP and inventory systems, including the ability to test updates and identify functional issues.
Native Arabic speaker with fluent written and spoken English.
