This is a remote position.

Executive Assistant

Join a prestigious private jet brokerage, specializing in organ transplant flights, corporate luxury travel, and private luxury travel for families and friends. Play a pivotal role in ensuring seamless, high-quality travel experiences for high-profile clients. This role is key to helping the CEO stay organized and efficient—balancing task management, communication, and administrative coordination in a fast-paced environment. What You'll Do:
  • Coordinate and manage leadership’s priorities by maintaining detailed to-do lists, scheduling appointments, organizing WhatsApp task reminders, and ensuring timely follow-ups and execution.
  • Handle client communications via calls, emails, and CRM inputs, ensuring exceptional customer service for ultra-high-net-worth individuals and C-suite executives.
  • Manage flight schedules and internal team calendars for streamlined operations.
  • Execute administrative tasks, such as CRM updates and compiling daily data for air medical evacuations.
  • Collaborate with supervisors to adhere to Standard Operating Procedures (SOPs).
  • Assist in general administrative tasks for the CEO so he can manage his time efficiently.
Who You'll Work With:

Work closely with the founding partners of a high-speed real estate and construction company. You’ll play a critical role in supporting both day-to-day administrative operations and high-level project coordination.

  • Organized: Able to manage numerous small tasks, maintain structured to-do lists and schedules, and follow up consistently without needing reminders.
  • Proactive: Takes initiative, follows through without being asked twice, and uses sound judgment to move tasks forward.
  • Clear Communicator: Handles phone calls and emails professionally when dealing with vendors and service providers.
  • Tech Adaptable: Can learn to use tools like Monday.com quickly for task and CRM management.
  • Excel Proficient: Comfortable with basic spreadsheet tasks such as data entry (advanced formulas not required).
  • Experience: General work experience is required.
