Job description

Delta Dental of Wisconsin is seeking a full-time Administrative Specialist to provide comprehensive support across the organization and manage the use of our conference center by external groups. You will work as part of a collaborative team, processing requests and tasks to support audits, licensing, compliance, events, and other key administrative functions that ensure operational efficiency and regulatory compliance.

What You'll Do 

  •  Analyze companywide statistical data required in order to compile and complete for submission.
    • Such as DDPA surveys, department reports, customer, and member company requirements, etc.
  • Oversee completion of required audits including scheduling, data collection and analysis.
    • Such as DDPA, SOC, security, customer requirements, etc.
  • Oversee, track, and maintain agent licensing in all states required for Wyssta
    • Such as class registration, exams, proctoring, renewals, appointments, etc.
  • Perform quality assurance as required by DDPA and DDWI customers.
  • Produce and update Summary Plan Descriptions for ASO
  • Analyze and prepare correspondence for OCI complaints, Better Business Bureau complaints, subrogation, bankruptcy, and legal inquiries.
  • Analyze HIPAA privacy compliance, reporting, and
  • Coordinate companywide policy review and maintenance.
  • Manage edits and distribution of Privacy Notices.
  • Coordinate companywide events including employee and family events on and off site.
  • Coordinate companywide recognition events.
    • Such as employee service anniversaries, retirement, etc.
  • Oversee the use of the conference center as requested.
  • Oversee registration of corporate
  • Validate and oversee approval of corporate invoices.
  • Manage building security access software and
  • Provide direction and guidance of the corporate archiving process.
  • Coordinate collection of motor vehicle records and interpret results and escalate as appropriate.
  • Oversee administration of the iConnect intranet site and its content.
  • Prepare checks for deposit and maintain records for required reporting.
  • Actively pursue continuous process improvement strategies aimed at improving efficiencies, increasing customer satisfaction, and reducing costs.
  • Assist Administrative Specialist-Reception with front desk responsibilities as required.
  • Provide administrative support for other teams as requested.
