Client Overview:

Our client is a rapidly growing dental organization seeking an experienced Virtual Dental Office Manager. They need an energetic and motivated individual with at least 4 years of management experience in the dental field, specifically with dental coding, billing, and insurance claims management.

Position Overview:

This role requires specific experience in dental office management and expertise in Open Dental software. The ideal candidate will manage insurance billing, track unpaid claims, and follow up with insurance companies to ensure claims are processed and paid. They will also oversee prior authorizations and accounts receivable management while maintaining compliance with dental industry standards. This role does not involve direct patient interaction but will focus on streamlining the billing and claims process for maximum efficiency.

Responsibilities:
  • Manage dental billing and accounts receivable to ensure timely processing and payment of claims.
  • Track, investigate, and follow up on unpaid insurance claims to resolve issues efficiently.
  • Handle prior authorizations with insurance companies and ensure timely follow-ups.
  • Oversee the use of Open Dental software for record-keeping, claim submissions, and insurance processing.
  • Audit and maintain accuracy of patient records in EMR/EHR systems to prevent claim denials.
  • Monitor and manage insurance websites and portals to track claim statuses and resolve issues.
  • Develop and implement policies and procedures to ensure efficiency in dental office operations.
  • Supervise and support the office team, ensuring compliance with best practices in dental administration.
  • Coordinate with the leadership team to recommend improvements for billing and insurance workflows.
  • Conduct weekly team meetings to discuss claim status, outstanding accounts, and process enhancements.
Qualifications:
  • Minimum 4 years of experience in a dental office management role.
  • Proficiency with Open Dental software and other industry-standard EMR/EHR systems.
  • Expertise in dental billing, insurance claims management, and dental coding.
  • Strong understanding of insurance claims processing and prior authorization procedures.
  • Experience working with insurance company portals to track and follow up on claims.
  • Strong problem-solving skills to investigate unpaid claims and implement resolution strategies.
  • Excellent communication and organizational skills, with the ability to manage workflows efficiently.
  • High attention to detail and ability to work independently without direct supervision.
  • Strong leadership abilities, capable of supervising remote office teams.
Preferred Qualifications:
  • Experience with complex dental insurance claim resolution and revenue cycle management.
  • Familiarity with dental-specific compliance and coding requirements (e.g., CDT codes).
  • Strong analytical skills to track and improve revenue cycle performance.
