We are looking for a Virtual Assistant to support safety and quality paperwork management, employee and machinery onboarding, and scheduling inductions. The ideal candidate for this role should be organized, detail-oriented, and proactive in handling administrative tasks to ensure smooth operational flow. This role will be crucial in supporting the safety and compliance processes within the organization.
Assist with managing safety and quality paperwork for compliance and auditing purposes.
Coordinate and manage employees onboarding, including documentation and training schedules.
Manage machinery onboarding and ensure all required paperwork is completed.
Book and organize site inductions for employees and machinery operators.
Maintain and update records related to employee and machinery certifications.
Support the scheduling and coordination of inductions to ensure timely attendance.
Ensure all onboarding and induction activities comply with safety and quality standards.
Respond to queries related to safety documentation and onboarding processes.
Assisting company directors with various administrative tasks.
Requirements
Requirements/Skills Needed:
Bachelor's degree in Business Administration, Management, or a related field is preferred.
3+ years of experience in administrative support or virtual assistant roles, preferably within a safety or compliance-related field.
Strong knowledge of safety regulations and quality assurance processes is an advantage.
Proficiency in using office software (Word, Excel, Microsoft SharePoint) and virtual tools.
Strong organizational and time management skills.
Excellent communication skills and attention to detail.
Ability to manage multiple tasks efficiently and meet deadlines
