Position Summary:
A Billing Specialist is responsible for managing and overseeing the billing process for an organization. This includes ensuring accurate and timely invoicing, handling billing inquiries, categorization of income/ expenses and maintaining billing records.
Key Responsibilities:
Generate and send out invoices to clients.
Review and verify billing data for accuracy.
Resolve billing discrepancies and disputes.
Maintain and update billing system and records.
Communicate with clients regarding billing issues and inquiries.
Collaborate with other departments to ensure smooth billing operations.
Prepare and present billing reports to management.
Key Accountabilities:
Process billing data from Celayix time management system into QuickBooks via Zed integration
Generate and send customer invoices on weekly and bi-weekly schedule (healthcare division –Wednesdays; local market division - on Fridays; monthly)
Reconcile expenses and income in appropriate categories within QuickBooks
Send payment reminders and follow up on overdue accounts using template communications
Generate and distribute standard financial reports every Monday
Process approximately 16,000 hours of billing data per invoice cycle (weekly, bi-weekly and monthly)
Categorize roughly 30 daily transactions per week
Manage calendars and schedule meetings for leadership team (team of four)
Handle basic administrative tasks and scheduling activities as needed
Attend video conference meetings three times per week
Requirements
Previous experience in billing or a similar role.
Strong attention to detail and accuracy.
Excellent communication and customer service skills.
Proficiency in billing software and Microsoft Office Suite.
Ability to handle confidential information.
Strong organizational and time management skills.
