Job description

This is a remote position.

Virtual Assistant – Data Entry assistant/VA support


Role Type:  Virtual Assistant (VA)
Duration:  Part-Time (Ongoing)
Hours:  21 hours/week
Start Date:  ASAP

Objective:
Enter verified model names for surfboards, wetsuits, and fins into a structured spreadsheet to support filters and search in a surf gear marketplace app.

Scope of Work:

  • Input ~9,000 model names:
    • Surfboards: ~9,000 (from ~600 shapers)
  • For each entry, record:
    • Brand or Shaper name
    • Model name
    • Source URL (for brand verification)
    • "Verified (Y/N)" field
  • Format work in a shared Google Sheet

Timeline & Targets:

  • Weekly Hours: 21
  • Estimated Pace: ~800 entries/week
  • Expected Duration: ~11-12 weeks
  • Weekly check-ins: 15–30 minutes via email


Performance Expectations:
  • Accuracy: Steady, precise data entry (~800 entries/week)
  • Verification: Use clear, reliable sources
  • Consistency: Daily updates in the shared Google Sheet
  • Completion: Full dataset within ~11-12 weeks

1. Administrative and General Support:

  • Email and calendar management
  • Document handling, formatting, and file organization
  • Data entry and database updates
  • Maintaining structured cloud storage (Google Drive/Dropbox)

2. Customer Support and Communication:

  • Chat support and responding to social media inquiries
  • Customer follow-ups and issue logging
  • Maintaining FAQs and customer support scripts

3. Marketing Assistance:

  • Community monitoring and reporting on engagement trends
  • Newsletter preparation and draft setup

4. Research and Outreach:

  • Monitoring competitors and industry trends
  • Identifying potential surf shop partners and influencers
  • Maintaining media and contact lists

5. Project and Task Management:

  • Updating Asana for task tracking
  • Monitoring deadlines for ongoing projects
  • Maintaining project documentation and meeting notes
