Fixed Schedule
Monday - Friday: 7AM - 4PM PDT with 1hour unpaid break
Tasks and Responsibilities:
Coordinate and support the full sales process from lead intake to post-sales handoff.
Create and manage sales quotes, proposals, and customer-specific forms or documents.
Respond promptly to both internal and external emails, ensuring all queries are acknowledged and actioned.
Monitor and track project and client activity across Asana, ensuring all sales- related tasks are updated and deadlines are met.
Input and manage customer data, sales pipeline stages, and notes using HubSpot.
Process and track sales orders, invoices, and PO requests through NetSuite.
Collaborate closely with the Project Coordinator, Operations Admins, and Accounting team to ensure smooth day-to-day operations and alignment across departments.
Keep accurate logs of customer interactions, updates, and changes across platforms.
Prepare and maintain sales reports, trackers, and dashboards for leadership and team visibility.
Maintain confidentiality and accuracy in handling sensitive client documents and communications.
Be proactive and open to learning client-specific portals or platforms required to complete sales transactions (e.g., procurement portals, document submission tools).
Track sales leads and ensure timely follow-up through automated sequences or manual reminders.
Ensure all documents are saved in proper folders or systems for easy access and auditing.
Support any RFP or vendor registration processes as needed.
Attend team meetings and contribute to improving processes, templates, or client communications.
