Job Title: Real Estate and Facilities Coordinator

Department: Business Development

Location: Texas, Remote

Position Type: Full-Time

Position Summary:

The Healthcare Real Estate and Facilities Coordinator plays a vital role in supporting both the real estate and facilities management functions across Geode’s growing healthcare footprint. This position serves as a central coordinator between internal teams and external partners to ensure smooth execution of property agreements and effective ongoing facilities operations. The coordinator oversees all phases of the facility lifecycle, including buildouts, repairs, upgrades, and ongoing compliance.

Key Responsibilities:

Real Estate Coordination:

  • Serve as a liaison between internal stakeholders and Legal/Accounting teams.
  • Ensure timely execution of real estate documents and processing of related payments.
  • Maintain organized and accessible records of real estate documentation.
  • Support the Legal team by tracking document status and following up on outstanding items to meet deadlines.

Facilities Management:

For New Locations (Denovos):

  • Assist in coordinating communication and logistics between internal teams (Operations, Practice Administrators, and other stakeholders) and external partners (General Contractors, Property Managers, etc.).
  • Support the development and setup of new healthcare sites by tracking milestones and ensuring tasks are completed on schedule.
  • Act as an onsite representative during key phases of construction, including walkthroughs, inspections, equipment deliveries, and final punch lists.
  • Collaborate closely with contractors, architects, vendors, and internal stakeholders to ensure project timelines, specifications, and healthcare standards are met.

For Existing Locations

  • Guide and support operations teams on identifying and addressing facility maintenance issues.
  • Manage and track maintenance requests through a ticketing system (Zoho); ensure timely follow-up and resolution
  • Escalate unresolved or urgent issues to leadership or legal teams as needed to ensure continuity of operations and tenant rights are upheld.

Qualifications:

  • 2+ years of experience in real estate coordination, facilities management, or healthcare operations preferred
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office and cloud-based documentation tools
  • Ability to prioritize and manage multiple projects simultaneously
  • Familiarity with property management or construction coordination is a plus
