JOB SUMMARY 

The Operations Project Manager is responsible for leading teams to implement multi-state and multi-site Proactive MD Health Centers, along with other key operational projects. The Operations Project Manager will be responsible for developing project plans, managing resources, monitoring budgets and schedules, and reporting progress to Proactive MD leadership in a timely manner. This responsibility also includes management of issues, risks and project change requests to ensure successful and on-time project delivery. 

The Operations Project Manager will also lead process improvement projects and transformative initiatives at Proactive MD including but not limited to the following areas: quality and compliance, technology and solutions, service excellence, and strategy. 

The Operations Project Manager operates independently to manage the day-to-day activities relevant to their project portfolio. It is the Project Manager’s responsibility to ensure the project produces the required deliverables, within the specified constraints of time and cost, to achieve the predefined objectives of the project.  This role will lead Clinical Operations Coordinator role(s) who will support day-to-day tasks for project completion. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Lead project/portfolio management efforts for Proactive MD 

  • Manage the definition, design, and implementation of projects, including but not limited to: 

  • Defining the objective, requirements, and assumptions necessary to structure a project 

  • Creating and managing project documentation 

  • Planning and facilitating both internal and client-facing meetings 

  • Applying project management tools to effectively assign project tasks to team members, track progress, and identify issues, risks, and barriers 

  • Directly manage and/or oversee the management of the implementation of new Proactive MD clinics in all regions, including but not limited to: 

  • Selecting, overseeing, and/or coordinating vendors and contractors 

  • Procuring supplies, equipment, and other materials 

  • Managing project budget and regularly reporting expenses to Proactive MD Finance Team. 

  • Work with Implementation and Clinical team members/leadership to ensure timely opening of all health centers 

  • Professionally and compassionately communicate and lead a broad spectrum of stakeholders (clients, implementation team, service delivery, PMD executives, etc.) regarding project status, issues, and proposed solutions. 

  • Build quick rapport with Clients for client-focused projects, being a strong example of the PMD culture of service in all interactions. 

  • Develop, maintain, train, and audit the use of project management standards for Proactive MD, including processes, documentation, and technologies used to support project management. 

  • Directly manage strategic, operational, and organizational projects using practices typically aligned with PMBOK, OPM3, and Lean Six Sigma standards. 

REQUIRED KNOWLEDGE, SKILLS, & ABILITIES 

  • 5+ years managing strategic projects  

  • Experience working within the healthcare field, especially in clinical implementation and operations, preferred. 

  • Knowledge of disciplined project management and process improvement practices, including PMBOK, OPM3, and Lean Six Sigma standards. 

  • Certification as a Certified Associate in Project Management (CAPM) and/or Project Management Professional (PMP) certification, preferred but not required 

  • Excellent time management skills and ability to multi-task and prioritize work 

  • Attention to detail and problem-solving skills 

  • Excellent written and verbal communication skills 

  • Strong organizational and planning skills 

  • Proficient in MS Office, MS Project and/or other project management software (Zoho Project, Wrike) 

  • Bachelor’s degree or higher required. Master’s degree in business, healthcare administration, or similar field preferred. 

  • Clinical licensure preferred 

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS 

This job primarily operates in a professional office environment. The physical demands to perform the essential functions of this job are: 

  • Effective communication, mobility, ability to operate office equipment and travel. 

  • Must be able to remain in a stationary position at their work area for prolonged periods of time. 

  • Additionally, the employee will need to be able to lift/move/store individual 20-30 pound boxes and items such as office and medical supplies and equipment. 

POSITION TYPE & EXPECTED HOURS OF WORK 

This role will be expected to work a minimum of 40 hours/week as directed. Typical workdays are Monday through Friday, 8:00am to 5:00pm. This role is considered an exempt position. Evening and weekend work are infrequent but may occasionally be required as business needs dictate. This is a management role with professional growth opportunities within Proactive MD.

TRAVEL 

Infrequent, domestic travel may be required and should be expected to be less than 20% of the position’s overall responsibilities.
