We are looking for a highly organized and proactive Associate Production Coordinator to support our dynamic video production efforts. This role goes beyond traditional coordination, encompassing project management responsibilities to see video projects through the entire lifecycle, from initial filming to final delivery. You will be responsible for managing logistics, scheduling, and ensuring seamless communication across internal teams and external stakeholders. Working closely with the Associate Creative Director, Creative Managers, and Project Manager, you will be instrumental in keeping projects organized, maintaining timelines, and assisting with all phases of production—pre-production, production, and post-production. This role also involves actively managing the post-production process, including coordinating editing, reviews, and approvals, as well as maintaining clear and consistent communication with all stakeholders involved. Experience with Asana is a significant plus.
What you'll do:
Coordinate all aspects of video shoots, including detailed scheduling of crew, talent, and locations, securing necessary permits, and managing on-set logistics.
Manage the post-production process, including coordinating with editors, motion graphics artists, and other post-production personnel to ensure timely completion of deliverables.
Facilitate feedback and revision cycles between stakeholders and the post-production team, ensuring all feedback is clearly communicated and implemented.
Work with external vendors (e.g., equipment rental houses, freelance crew, post-production facilities) to handle contracts, negotiate rates, process invoices, and manage payments.
Organize and maintain digital assets, implementing efficient workflows for ingesting, labeling, archiving, and distributing footage and project files.
Actively manage project timelines and proactively identify and address potential roadblocks to ensure projects stay on schedule.
Serve as a central point of contact for all project-related communication, ensuring clear, consistent, and timely updates are provided to internal teams (Creative, Marketing, etc.) and external stakeholders (clients, partners).
Arrange travel, catering, and other logistical needs for production teams, both on-location and in-house.
Ensure all necessary release forms (talent, location, etc.) and other legal documents are properly executed, filed, and tracked.
Maintain accurate records of project budgets, track expenses against allocated funds, and process necessary approvals.
Utilize project management tools (experience with Asana is a bonus) to create and manage tasks, track progress, and ensure accountability across the project team.
Proactively communicate project status, potential risks, and proposed solutions to the Video Producer and Associate Creative Director.
Contribute to the continuous improvement of production workflows and processes.
What you'll need:
1-2 years of demonstrable experience in video production coordination or a related project management role within a creative environment.
Strong organizational and project management skills, with a proven ability to manage complex projects from inception to completion.
Ability to effectively manage multiple projects simultaneously and consistently meet tight deadlines in a fast-paced environment.
Solid understanding of the end-to-end video production workflow, encompassing pre-production planning, on-set execution, and post-production processes (editing, color correction, audio mixing, etc.).
Experience with scheduling tools, advanced spreadsheet software (e.g., Excel, Google Sheets), and project management software (experience with Asana is a significant bonus).
Familiarity with video editing software (e.g., Adobe Premiere) and motion graphics software (e.g., Adobe After Effects) or general knowledge of video post-production tools and processes is a plus.
Exceptional written and verbal communication skills, with the ability to effectively communicate with diverse teams and stakeholders at all levels.
A proactive problem-solving mindset with a keen eye for detail and the ability to anticipate and mitigate potential issues.
A collaborative and positive attitude with the ability to work effectively within a team environment.

The expected salary range for this role for candidates residing in the United States is between $58,400 USD - $78,100 USD. Compensation for candidates residing outside the United States will vary by location and the specific salary range will be discussed during the hiring process. Actual compensation for an individual may vary depending on skills, performance over time, qualifications, experience, and location.
