Position Summary:
This pivotal role provides comprehensive support to Internet2 executives and broader organizational initiatives, requiring outstanding professionalism, adaptability, strategic thinking, and a proactive, can-do attitude. The Assistant Program Manager ensures efficient scheduling, smooth coordination of high-profile events, and effective internal and external communications—serving as liaison and representative of the Trust & Identity (T&I) and NET+ divisions. 

 

Key Responsibilities: 

  • Executive Support & Office Administration
    • Manage complex, dynamic calendars across multiple time zones, reprioritizing as needed.
    • Handle sensitive matters with discretion, ensuring confidentiality and professional judgment.
    • Coordinate travel logistics, itineraries, and accommodations.
    • Prepare and track monthly reports, coordinating with AVP’s on budgets and other reports.
    • Anticipate executive's needs, identifying potential challenges, and offering proactive solutions.
  • Event and Meeting Management
    • Participate in the planning and logistics for major Internet2 events (Tech Exchange, Community Exchange), including coordinating community committees with domestic and international participants.
    • Set up and facilitate communication channels such as Slack groups for event and project collaboration.
    • Schedule meetings, manage agendas and materials, secure meeting rooms and conferencing details.
    • Serve as a liaison for internal and external participants.

 

  • Cross-Functional & Strategic Coordination
    • Collaborate closely with executive assistants and division leaders to align priorities and streamline operations.
  • Support contract/Statement of Work renewals with consultants and vendors.
  • Interface with multiple departments to address time-sensitive requests and cross-divisional needs.
  • Participate in strategic discussions, demonstrating an understanding of broader business goals.

 

  • Community & Internal Engagement
    • Attend and support weekly meetings and planning sessions, recording minutes and maintaining accurate documentation on internal platforms (e.g., wiki).
    • Organize and lead staff events, including the Staff E Bio book and other engagement initiatives.
    • Act as a point of contact for new relationships, both internal and external to the organization.

 

Qualifications: 

  • Bachelor’s degree or equivalent practical experience in a related field.
  • 5+ years supporting C-level executives and key stakeholders.
  • Experience supporting monthly budget reports and financial tracking.
  • Ability to communicate to a broad and diverse community with diplomacy and a customer service focus.  
  • Experience working independently and collaboratively across remote teams in multiple time zones in a fast-paced environment.
  • Experience representing a division or organization.
  • Strong organizational and time management skills. 
  • Demonstrated ability to think strategically, take initiative, and adapt to changing priorities.
  • High proficiency in Salesforce, Google Workspace and Microsoft Office.
  • Adept in video meeting platforms and messaging tools such as Slack and Zoom.
  • Skilled in travel coordination and logistics planning platforms.
  • Demonstrated problem-solving mindset and high emotional intelligence.
  • Experience in maintaining confidentiality and managing sensitive information appropriately.

 

Preferred Skills: 

  • Experience in Higher Education or similar mission-driven environments.
  • Familiarity with Internet2.
  • Familiarity with event coordination software and collaborative platforms (e.g. Confluence).

Salary Range / Pay Grade: 

$78,000 - $117,000 / B-6 

Starting pay is typically from the minimum up to the midpoint of the grade range and varies based on experience.
