How you will make a difference: 
 

As our HR Payroll & Administration Specialist, you’ll play a key role in driving smooth and efficient HR operations in Moldova. From handling payroll to managing essential HR administration tasks, you'll be a vital partner to the local team, helping us deliver timely, high-quality support to our employees and keeping everything running seamlessly behind the scenes.


Payroll:

  • Working collaboratively with the other HR team members, to ensure that Safeguard Global employees are paid accurately and on time each month for various locations.
  • Timely and accurate submission of payroll data.
  • Supporting HR Business Partner's on appropriate administration of all payroll and benefit related documentation, such as medical certificates, receipts relating to benefits, fit notes etc.
  • Supporting HR Business Partner's on timely receipt and delivery of net pay and payroll reports in line with agreed upon payroll schedules, storing records in a standardised method.
  • Accurate reconciliation and validation of data to ensure accuracy of payroll
  • Review and distribution of employee pay slips where applicable
  • Providing support to HR Business Partner's on handling payroll and benefit related queries from Safeguard Global employees and the wider HR team
  • Maintaining close contact with the HR team to work in synchronization with the other business units.
  •  Be responsible for the integrity and accuracy of the data within your remit at all times.

HR Administration:

  • Administrating annual leaves processes, such as: monitoring vacations balance, issuing internal orders, registering vacations' related internal orders, maintaining internal registers, in compliance with Moldovan requirements, annual leave reconciliation, updating HR systems with annual public holidays etc.
  • Serving as contact person on employees' related issues with external public authorities and banks, as is for maternity leave, social assistance and bank accounts opening purposes.
  • Coordinating the access control process and managing the issuance of security badges, following the established procedure and rules.
  • Supporting the HR team in organisation of company’s events such as: company’s parties, team building events, etc.
  • Providing assistance to the HR Team to plan and organize events, to promote and develop interesting HR programs and projects to ensure a happy and healthy work environment and keep employees engaged.
  • Providing support to the HR Team in keeping up to date the internal regulations and other internal policies, in compliance with the legislation in force.

  • Previous experience in HR administration or a similar support role
  • Fluency in both English and Romanian, with top-notch communication skills (written and spoken)
  • Confident user of Microsoft Office, especially Word, Excel, and PowerPoint
  • A natural communicator with strong interpersonal skills - you’re comfortable engaging with colleagues at all levels
  • A proactive, self-starter attitude with the flexibility to thrive in a fast-paced, ever-changing environment
  • Impressive organisational skills and a sharp eye for detail
