Freelance Talent Acquisition Coordinator

Known for excellence and professionalism, we’re hired as strategic and creative partners by our biopharmaceutical clients to drive category/brand awareness and growth. 

Position Overview 

We are seeking a highly organized, detail-oriented Freelance Talent Acquisition Coordinator to join our growing team. This position can be 100% remote but will maintain the hours of 9:00am-5:30pm ET Monday through Friday. In this critical support role, you will be responsible for scheduling interviews across all departments and levels of the organization. You will serve as the central point of coordination between candidates, hiring managers, and interviewers, ensuring a seamless and positive interview experience.

Specific responsibilities include:  

  • Coordinate and schedule a high volume of interviews, including one-on-one, panel, and case presentation formats, for candidates at all levels and departments.
  • Collect and align availability from candidates, hiring managers, and interviewers across multiple time zones, ensuring optimal scheduling efficiency.
  • Manage on-site and virtual interview logistics, including calendar invites, video conferencing links, room bookings, and candidate itineraries.
  • Maintain confidentiality and discretion when handling candidate and interviewer information.
  • Monitor and manage interview load balancing to ensure fair distribution of interviews among team members.
  • Collaborate closely with recruiters, HR partners, and hiring teams to provide real-time updates and proactive communication.
  • Identify and resolve scheduling conflicts or last-minute changes with agility and professionalism.
  • Ensure an exceptional candidate experience by delivering timely communication and logistical support.

Qualifications 

Required  

  • Bachelor's Degree, ideally with a concentration/major in Business or Human Resources
  • Exceptional attention to detail and organizational skills; ability to juggle multiple priorities with accuracy.
  • Excellent time management and problem-solving skills under tight deadlines.
  • Strong interpersonal and communication skills; comfortable working with individuals at all levels of an organization.
  • High degree of professionalism, discretion, and confidentiality.
  • Flexibility to adapt to shifting priorities in a fast-paced, dynamic environment.

Preferred

  • Experience supporting interview scheduling in a global or enterprise-scale organization.
  • Knowledge of recruitment processes and lifecycle stages.
  • 2+ years of experience in a recruiting coordination, administrative support, or HR operations role.
  • Proven ability to manage complex scheduling across multiple time zones and stakeholders.
  • Experience with applicant tracking systems (ATS) and calendaring tools (e.g., Greenhouse, Lever, Outlook, Google Calendar, Zoom, MS Teams).
