Previous experience in scheduling, rostering, or calendar coordination within a fast-paced or client-facing environment. Strong organizational skills with an exceptional attention to detail and ability to manage multiple calendars effectively. Clear and professional communication skills, both written and verbal, with a focus on client care and responsiveness. Proven ability to manage last-minute changes or cancellations with poise and problem-solving agility. Comfortable using scheduling software, rostering tools, and productivity platforms (e.g., Google Calendar, Outlook, Deputy, Calendly, Trello). Ability to work independently while also collaborating closely with executives, team members, and clients. Discretion and confidentiality in handling sensitive information and client communications. High level of reliability and a proactive approach to anticipating needs and filling calendar gaps efficiently.
Core responsibilities:
Manage and oversee daily calendars, ensuring all appointments, meetings, and commitments are accurately scheduled, updated, and confirmed in a timely manner. Monitor and maintain rosters across teams or individuals, ensuring adequate coverage and minimizing scheduling conflicts. Respond promptly to cancellations or rescheduling needs, notifying clients or stakeholders professionally and securing alternative appointments. Ensure calendars are optimized and filled efficiently, proactively identifying and booking available slots to maximize productivity. Communicate with clients, team members, and external contacts to confirm bookings, address inquiries, and follow up on pending scheduling matters. Maintain accurate records of all appointments, changes, and communications to ensure visibility and accountability. Coordinate with other departments or administrative staff to align calendars and support smooth day-to-day operations. Provide administrative support as needed, including preparing meeting agendas, sending reminders, and assisting with basic correspondence.
