THE ROLE
We are seeking a highly organized and detail-oriented
Bookkeeper to provide comprehensive financial support to a U.S.-based accounting firm. In this role, you will be responsible for maintaining accurate financial records, managing multiple client accounts, preparing reconciliations, and supporting month-end and year-end processes in compliance with U.S. accounting standards.
This position is ideal for a self-motivated professional with a strong foundation in bookkeeping and a working knowledge of U.S. GAAP and federal tax compliance. You must be able to manage client communications confidently, navigate cloud-based accounting systems, and contribute to a remote-first culture built on excellence and trust.
Essential Functions
> Financial Transaction Recording:
- Record day-to-day financial transactions for multiple clients using cloud-based accounting systems (e.g., QuickBooks Online, Xero).
- Classify and reconcile accounts in accordance with U.S. GAAP standards.
- Maintain and update client general ledgers with a high degree of accuracy.
> Bank and Account Reconciliations:
- Perform monthly bank, credit card, and loan account reconciliations.
- Reconcile intercompany balances and resolve discrepancies proactively.
- Prepare month-end closing schedules and ensure cutoff accuracy.
> Accounts Payable and Receivable:
- Manage client A/P and A/R cycles: enter vendor bills, issue payments, create invoices, and monitor collections.
- Ensure proper approval workflows and documentation for all disbursements.
- Maintain aged payables and receivables schedules and assist with collection follow-ups.
> Financial Reporting and Period Close:
- Generate monthly financial reports including balance sheets, P&Ls, and cash flow statements for review by accountants.
- Support monthly, quarterly, and year-end closings.
- Prepare adjusting entries under supervision and provide clear documentation for audit trails.
> U.S. Compliance and Documentation Support:
- Assist in gathering documentation for 1099 filings, sales tax reporting, and other regulatory filings.
- Maintain proper record-keeping for audit readiness and IRS compliance.
- Understand key U.S. reporting deadlines and work in sync with U.S. time zones during critical periods.
> Client Communication and Collaboration:
- Serve as a point of contact for bookkeeping questions, financial data requests, and basic advisory communication.
- Collaborate with CPAs, tax preparers, and client representatives to ensure timely and complete deliverables.
- Schedule and attend regular check-in calls with U.S.-based accounting teams.
> Technology and Process Improvement:
- Identify and implement process enhancements using automation tools (e.g., Hubdoc, Dext, Bill.com, Melio).
- Stay updated on U.S. bookkeeping best practices, new technologies, and regulatory changes.
Qualifications
> Bachelor’s degree in Accounting, Finance, or equivalent work experience.
> 2+ years of bookkeeping experience, preferably serving U.S. clients in a remote environment.
> Proficiency in QuickBooks Online and/or Xero; familiarity with U.S. accounting software integrations.
> Solid understanding of U.S. GAAP principles, tax calendar, and compliance basics.
> Experience supporting CPA firms, tax preparers, or U.S. small-to-midsize businesses.
> Strong Excel skills; able to manipulate and analyze large data sets.
> Highly organized, detail-focused, and capable of managing multiple client books simultaneously.
> Excellent English communication skills — written and verbal.
> Comfortable working across multiple time zones and handling sensitive financial information.
> Experience with payroll platforms, bill pay systems, and expense management tools is a plus.
> Familiarity with 1099, sales tax, and IRS documentation requirements is a strong advantage.
