The Meeting Event Manager II (MEM) serves as the primary client liaison and team lead for assigned programs and events, overseeing all operational aspects from planning through execution. Responsible for coordinating all program details while delivering exceptional customer service. Leads budget management, including forecasting and tracking all financial variations throughout the program lifecycle.

Position Overview

  • This role is responsible for managing meetings, events, and incentive programs from planning through execution. The scope varies by client and program. Responsibilities include budget management, client and supplier coordination, and onsite leadership.

Reporting Structure

  • Reports to a Director or Manager/Senior Manager. Works closely with clients, destination management companies (DMCs), and third-party vendors. Regular collaboration with internal teams including Sales/Account Management, Creative, Registration, Supplier Relations, Sourcing, Accounting, and Operations.

Program Management (40%)

  • Define program deliverables and develop project timelines and budgets.

  • Manage logistics and supplier contracts (AV, hotel, DMC, air, etc.), and monitor key deadlines like attrition and cancellation policies.

  • Lead site inspections and planning meetings with clients and internal stakeholders.

  • Ensure project teams understand client expectations, business rules, and goals.

Budget & Financial Management (20%)

  • Monitor project budgets and expenses; participate in financial reviews.

  • Forecast revenue, manage change orders, and initiate supplier payments and client invoicing.

  • Lead contract negotiations and RFP processes with suppliers.

  • Ensure financial tracking and reporting, aiming to meet profitability targets.

Client & Project Team Communication (20%)

  • Serve as the main day-to-day contact for clients.

  • Maintain strong client relationships and ensure goals are met.

  • Lead project status meetings and oversee timelines and deliverables.

  • Guide project teams in executing programs to expectations and standards.

Onsite Leadership & Execution (20%)

  • Serve as the onsite lead for clients, vendors, and venues.

  • Resolve onsite challenges, manage risk, and oversee team operations.

  • Handle VIP logistics and special projects.

  • Support proposal development and renewal deliverables, including initial budgets and agreements.

Qualifications

  • Bachelor’s degree or equivalent experience required.

  • 3+ years in event/meeting planning or hotel catering/convention sales. International experience a plus.

  • Strong project and budget management skills, including financial forecasting.

  • Proven ability to build and maintain client relationships.

  • Excellent communication, presentation, and writing skills.

  • Capable of managing multiple priorities in a fast-paced environment.

  • Proficient in Microsoft Office; quick to learn new technologies.

  • Willingness to travel up to 30%.
