  • Provide comprehensive administrative support to the CEO and Executive Leadership team, ensuring discretion and confidentiality.
  • Coordinate project timelines, track deliverables, and facilitate communication among stakeholders for strategic initiatives.
  • Manage scheduling and logistics for executive meetings, including preparing agendas and following up on action items.
  • Oversee executive travel arrangements and expense processing, ensuring efficiency and cost-effectiveness.

Who you are: 

  • You bring at least 7 years of solid experience in executive support or a similar partnership role, ideally gained within a high-growth environment. You've consistently proven your ability to effectively support senior leadership and their strategic objectives.
  • Your communication skills, both written and verbal, are highly developed. You can articulate complex information with clarity and impact across various stakeholder groups.
  • You're proficient with essential business tools like Google Suite and Slack. Experience with Salesforce and SalesLoft would be a definite asset.
  • You're known for your professional integrity, discretion in handling confidential matters, and sound judgment, particularly when navigating critical situations.
  • You're exceptionally organized and adept at managing multiple priorities simultaneously, all while maintaining meticulous attention to detail and a strong track record of follow-through.
  • You thrive in collaborative environments and proactively seek solutions, balancing competing demands with a positive and results-oriented approach.

How you’ll contribute to the team: 

  • Executive Support & Project Facilitation: You'll provide comprehensive administrative support to the CEO and Executive Leadership team, ensuring the highest level of discretion. In parallel, you'll play a key role in supporting strategic initiatives by coordinating project timelines, tracking deliverables, and facilitating clear communication among relevant stakeholders.
  • Driving Strategic Project Progress: You'll actively contribute to the planning and execution of strategic projects, including gathering necessary data, developing project documentation, and diligently following up on action items to ensure consistent progress.
  • Cross-Functional Project Collaboration: You'll partner effectively with various departments to support project goals, fostering alignment and ensuring seamless communication across different teams.
  • Meeting & Project Management Expertise: You'll manage the scheduling and logistical aspects of executive meetings and project-related sessions, including preparing agendas, distributing materials, and ensuring thorough follow-up on outcomes and action items.
  • Sophisticated Calendar Management: You'll take ownership of the complex calendars for senior leaders, expertly prioritizing engagements and understanding the broader implications of schedule adjustments. You'll proactively ensure leaders are well-prepared for all meetings and efficiently manage all scheduling requests.
  • Efficient Travel & Expense Administration: You'll manage all executive travel arrangements with a focus on efficiency and cost-effectiveness. You'll proactively monitor travel schedules and ensure all necessary documentation is in order. Additionally, you'll manage the timely and accurate processing of expenses through Navan.
  • Strategic Partnership with Leadership: You'll work closely with the L1 leadership team to foster strong collaboration and enhance overall organizational coordination. You'll leverage your experience to help align strategic priorities and contribute to the smooth and effective execution of key initiatives.
