Summary:
The Senior Program Support Manager fulfills the mission of Greenheart International by providing quality services, communication, and program support for BridgeUSA programs at Greenheart Exchange. This support will include assigned operational tasks, ensuring a smooth placement process for all stakeholders, running daily reports to track divisional benchmarks and goals, creating and updating standard operating procedures for the Program Support, Youth Programs team, and providing general on-program support for all participants. The Senior Program Support Manager collaborates with the Field Leadership, Grants, Account Management, Partner Relations, Operations, and Compliance divisions to maintain quality standards and ensure timely resolution of program issues.
Requirements, qualifications and skills:
- Bachelor’s degree or equivalent experience highly preferred.
- Previous experience managing or leading a team.
- Experience working in youth exchange, international education, nonprofit, or program operations preferred
- Prior experience working with international exchange programs or similar regulatory environments (e.g., Department of State or BridgeUSA programs) preferred.
- Familiarity with Department of State (DOS) regulations and reporting standards.
- Experience tracking program metrics, producing reports, and ensuring regulatory compliance.
- Confident in public speaking and delivering presentations to various stakeholders.
- Experience managing shared inboxes, emergency phone schedules, and documenting program support cases.
- Professionalism – approaching others with consideration, tact, compassion and willingness to listen and understand
- Adaptability – being flexible and able to adjust to changes in the work environment, processes and approach
- Computer Skills: Microsoft Suites (Word, Outlook, Excel, SharePoint, Teams)
- Skilled in creating and managing social media content for outreach and recruitment purposes.
Responsibilities:
- Oversee and manage day-to-day support of Youth Programs participants by ensuring participants and Local Coordinators complete required check-ins, evaluations, and monitoring communications.
- Manage internal systems, standard operating procedures, and team performance to ensure efficient, high-quality support operations.
- Coordinate with internal departments and international partners to align support services and ensure consistent program delivery.
- Monitor program benchmarks and compliance metrics through regular reporting, ensuring data accuracy and timely submissions.
- Identify opportunities for process improvements and contribute to strategic planning to enhance participant and program support services.
- Support recruitment and community engagement through targeted social media content, digital campaigns, and outreach efforts in collaboration with field staff.
- Represent Greenheart at conferences and external meetings, build relationships with stakeholders, and deliver presentations to promote program understanding and support.
