Job description

We are looking for a highly skilled Senior Payroll Specialist to manage payroll processes, benefits administration, and employee onboarding/offboarding with accuracy and efficiency. This role requires expertise in payroll systems like ADP Workforce Now, a strong understanding of compliance with federal and state regulations, and a commitment to maintaining confidentiality.   • Employee Onboarding and Offboarding Management:
    • Facilitating seamless onboarding processes for new hire(I9,Sextual Harassment Training etc.), including coordinating orientation sessions, providing necessary training materials, and ensuring completion of required documentation.
    • Conducting exit interviews and managing offboarding procedures for departing employees, including processing final payments, collecting company property, and deactivating access to systems and facilities.
  • Payroll Management:
    • Proficient in utilizing payroll systems, specifically ADP Workforce Now or Run, to process payroll accurately and efficiently.
    • Ensuring compliance with federal and state payroll regulations, tax laws, and reporting requirements.
    • Addressing employee inquiries related to payroll issues and discrepancies.
  • Benefits Administration:
    • Managing employee benefits programs, including health insurance, 401(k), Flexible Spending Accounts (FSA), Health Savings Accounts (HSA), and other related benefits.
    • Collaborating with benefits providers to ensure smooth enrollment processes and timely resolution of benefit-related issues.
    • Educating employees on available benefits options and assisting with benefits-related inquiries.
  • Compliance and Regulatory Adherence:
    • Staying abreast of changes in federal and state employment laws and regulations, particularly those pertaining to payroll and benefits administration. Ensuring compliance with all relevant legislation, including the Affordable Care Act (ACA), ERISA, HIPAA, and COBRA.
    • Assisting the client in managing employee relations, ensuring a positive work environment and compliance with applicable laws and regulations. Demonstrating integrity, honesty, and professionalism in all HR-related activities and interactions.
  • Documentation and Reporting:
    • Maintaining accurate employee records, including payroll data, benefits elections, and compliance documentation.
    • Ensuring confidentiality and privacy of employee information and sensitive HR data.
  • Cross-functional Collaboration:
    • Collaborating with finance, legal, and other departments to ensure alignment and consistency in HR processes and practices.
    • Partnering with external vendors, such as benefits brokers and payroll service providers, to optimize HR service delivery.
  • Bachelor’s degree in human resources, Business Administration, or related field.
  • Over 2 years of HR experience, USA payroll and benefit exposure is a plus.
  • Proficient understanding of employment laws and regulations, particularly in the USA.
  • Exceptional communication and interpersonal skills, capable of effective engagement across all levels of the organization.
  • Critical thinking, problem-solving, and decision-making capabilities.
  • Strong organizational skills, able to manage multiple priorities and meet deadlines.
  • Experience with Canadian HR functions, including payroll and benefits management, is also highly valued.
  • Bachelor's degree in human resources, business or related field, 2-5 years of experience in HR, payroll and benefit management for US/Canadian companies (US preferred), Excellent English communication skills ,Knowledge on compliance to IRS and Department of Labor
