About the Partner Company:
Our partner company is developing an AI-powered robotic system to automate repetitive lab protocols in biology—tackling the biggest bottleneck in life science discovery: data generation. By combining cutting-edge robotics with artificial intelligence, computer vision, and natural language processing, the partner company’s embodied lab intelligence platform aims to eradicate all diseases within our lifetime.
Role Overview:
The TA Specialist will play a critical role in driving a seamless and efficient hiring process for the partner company. This person will manage end-to-end recruitment logistics—from candidate scheduling and interview coordination to offer letter preparation and agency communication. The ideal TA Specialist is hyper-organized, proactive, and thrives in a fast-moving, high-accountability environment. As a core member of a small, collaborative team, this role offers room to grow into broader operations work based on performance and initiative.
Key Responsibilities
Candidate Scheduling & Coordination
- Lead initial screener calls and coordinate interview availability between candidates and internal team members
- Manage end-to-end interview scheduling, including final onsite interviews
- Ensure all meetings have proper calendar invites and supporting details
- Organize and follow up on candidate reference checks
Logistics & Candidate Experience
- Serve as the primary point of contact for candidates throughout the process
- Follow up on interview feedback within one business day
- Coordinate next steps and updates with partner recruitment agencies
- Arrange travel logistics for candidates flying in for onsite interviews
Administrative Support
- Draft and submit offer letters for review and approval
- Ensure interviewers are briefed on candidate-specific questions prior to interviews
- Maintain and update recruitment templates and internal documentation
Operational Support & Ad-Hoc Projects
- Take on additional operational responsibilities based on performance and capability
- Support continuous improvement initiatives across the hiring process
- Collaborate closely with leadership and cross-functional teams on special projects
Requirements
Non-Negotiables:
- 1+ year performing high-level recruitment, supporting multiple hiring initiatives
- Great communication skills - written and verbal
- Able to juggle multiple tasks without letting anything fall through the cracks
- Takes full ownership of responsibilities and follows through without needing close supervision
- Keeps stakeholders in the loop, asks for help when needed, and shares updates regularly
- Able to navigate changing situations with thoughtful, solutions-first thinking
- Open to feedback, eager to improve, and motivated to take on more responsibility over time
Nice-to-Haves:
- Experience coordinating with partner recruitment agencies
- Familiarity with offer letter drafting and candidate travel logistics
- Background in fast-paced or early-stage environments
- Demonstrated ability to handle ad-hoc or cross-functional operational tasks
- Experience with calendar systems, ATS platforms, or recruitment CRMs
- Strong cultural fit—someone who is resourceful, constructive in communication, and brings positive energy to remote teams
