About the Department

The University of Chicago biomedical enterprise houses three entities: the Biological Sciences Division (BSD), the University of Chicago Medicine (UCM), and the Pritzker School of Medicine. Job Summary

Reporting to the Associate Director, the Regularly Scheduled Series (RSS) and Customer Support Specialist is responsible for the Accreditation Council for Continuing Medical Education (ACCME) compliance with CME activities. Working closely with the Sr. RSS Specialist, this role supports initiatives related to creating RSS activities in a Learning Management System (EthosCE), accreditation, policies, and training for major educational affiliates. They will work closely with department contacts to ensure that all conflicts of interest have been mitigated and all necessary documentation is provided for required record keeping and the approval of activities. Provides compliance review of educational materials to ensure independence, fair balance, and alignment with accreditor and institutional policy. As a primary customer support contact for all CME learners, they work to enhance the learner experience by responding to inquiries promptly and escalating more complex issues to the appropriate staff. They will closely monitor the learner credit reporting tool in EthosCE to continuously improve the transmission of data to the ACCME PARS reporting site. Demonstrates outstanding customer service skills and excellent organizational, planning, and follow-through capabilities. They will assist with internal conference support and may be required to work occasional weekends/evenings to support these events.

Responsibilities

  • Work with CME and Department staff, course faculty, and external partners/affiliates to build accredited RSS activities in an online Learning Management System (EthosCE).

  • Review RSS documentation for clarity, completeness, consistency, and compliance with ACCME and institutional guidelines.

  • Communicate identified issues regarding RSS documentation, policies & procedures and recommend a resolution. These documents typically include disclosure statements, promotional materials, and presentations.  

  • Work with internal and external learner participants to ensure accurate ACCME PARS learner data transfer from EthosCE. 

  • Monitor and respond promptly to general inquiries in the CME inbox and main phone line.  

  • Provide backup and assist with customer support for live (in-person and virtual) activities, conferences, and webinars. 

  • Assist the CME team in maintaining accreditation status with the Accreditation Council for Continuing Medical Education (ACCME). 

  • Remain abreast of accreditation criteria as well as institutional policies and procedures.

  • Attend professional development workshops, meetings, and webinars. 

  • Assist with special projects or initiatives as needed. 

  • Uses general understanding and experience to administer the delivery of services to program participants and/or beneficiaries. 

  • Plans and conducts quality assurance reviews and recommends changes as appropriate. 

  • Interacts with faculty, researchers and staff for committee work or information. 

  • Performs other related work as needed. 


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through < 2 years of work experience in a related job discipline.

Experience:

  • Previous customer service, administrative support, or event coordination experience. 

  • Experience in accredited continuing education.  

  • Familiarity with ACCME, AMA, PhRMA, FDA, and OIG guidelines. 

  • Experience working in an academic medical center or university. 

  • Experience in a professional medical environment working closely with physicians.
