Job description

Location: Remote (Must be available during CST business hours)
Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM CST
Hours per Week: Full-time (40 hours/week)
Time Off: Unlimited PTO (via Notion) – 2 weeks’ notice appreciated
Holidays Observed: US holidays (PH holidays upon request)

About the Role

We are seeking a proactive, organized, and process-driven Executive Assistant / Sales Assistant to support our sales team by managing all low-touch administrative and sales pipeline tasks. This role is critical to freeing up our sales executives to focus on high-value, relationship-driven activities—ultimately helping the team close more deals and drive growth through 2024 and beyond.

What You’ll Do
Daily Responsibilities
  • Manage sales executive’s inbox and communications
  • Prepare daily agenda and action items
  • Review and complete tasks in Pipedrive CRM
  • Handle general administrative duties
  • Pre-inspection coordination:
    • Create projects in CompanyCam
    • Measure roofs using Daft Logic and take screenshots
    • Upload measurement data into Acculinks
  • Keep tabs on key metrics and client scorecards
📅 Weekly Responsibilities
  • Compile and enter weekly metrics into Bloom (dashboard tool for EOS)
🚀 Your First Week
  • Take ownership of inbox and Pipedrive management
  • Learn tools, workflows, and key systems
  • Collaborate with the sales team and shadow calls/meetings
  • Begin executing daily workflow with guidance from leadership

Requirements

  • 2+ years of experience in an executive assistant, sales support, or operations role
  • Strong organizational and planning skills
  • Excellent written and verbal English communication (native/near-native accent required)
  • Proactive, detail-oriented, and dependable
  • Fast learner who takes initiative and follows through
  • Comfortable using CRMs and productivity tools
  • Able to work independently, stay accountable, and manage multiple tasks with precision

Nice-to-Haves
  • Familiarity with the roofing or construction industry
  • Experience working with remote sales teams
  • Previous use of EOS or similar operational frameworks
