Job description

This is a remote position.

Schedule:
  • 8:00 am to 5:00 pm Sydney, Australia (with 1 hour unpaid lunch)
  • Full time

(reports to the Director/Project Manager)


Role Overview:

We’re seeking a proactive and detail-oriented Contract Administrator to support our estimating and delivery workflows. You will liaise with the bid team, maintain documentation, and keep compliance registers up to date. Familiarity with Procore, Estimate One, Groundplan, and CtrlDoc is essential to streamline digital workflows and documentation.

Key Responsibilities:

  • Support the estimating team by preparing quote submissions through Estimate One
  • Liaise with clients to download, format, and track tender and contract documentation
  • Review and log incoming head contracts, scopes, and addenda in Procore or internal systems
  • Maintain and update passive fire registers, penetration tracking, and rectification logs
  • Upload and organize documents in SharePoint, Procore, and CtrlDoc
  • Ensure all pre-start documentation is submitted on time: SWMS, licenses, insurances, forms
  • Assist with variation quotes, formatting of claim documentation, and compliance submissions
  • Use Groundplan to assist with drawings, markups, or take-off validation as required
  • Prepare and collate handover packs, including warranties, fire certifications, and manuals
  • Maintain high accuracy and up-to-date records across all project documentation







Requirements
  • 2+ years of experience in contract administration, construction admin, or project support
  • Strong understanding of documentation in passive fire, HVAC, or building services
  • Proficiency with Procore, Estimate One, CtrlDoc, Groundplan, SharePoint, and Excel
  • Strong attention to detail, task tracking, and communication skills
  • Ability to work independently in a remote environment and manage priorities effectively


Desirable
  • Familiarity with NCC, BCA, and Australian Standards relevant to passive fire protection
  • Experience working with Tier 1 or Tier 2 commercial builders
  • Ability to understand construction scopes, plans, and trade packages
