Job description

Description Summary: The Tax Filing Specialist is responsible for performing daily tax accounting functions across multiple hotel clientsThis role prepares, reviews and files accurate tax returns in accordance with applicable local and state regulations, while ensuring timely submissions and maintaining compliance standardsThe position requires strong attention to detail, excellent organizational skills and commitment to customer service. 

Essential Duties: 

The duties listed below are the essential functions of this position, and they may change as the needs of the company demand. All associates are expected to do what is necessary to get the work done and to cooperate fully with their supervisor’s requests for additional or altered duties. 

  • Responsible for the following:  
  • Prepare and file monthly, quarterly, and annual sales, use, and occupancy tax returns for multiple clients 
  • Ensure all tax returns are filed accurately and submitted on or ahead of jurisdiction deadlines 
  • Establish and maintain electronic filing and payment procedures with taxing authorities 
  • Maintain the organizational tax calendar and ensure all required filings are completed by deadlines without oversight 
  • Analyze tax-related financial data and post to appropriate general ledger accounts in Accounting Core or Core Select systems 
  • Maintain compliance with current tax laws and regulations 
  • Identify and implement process improvements to streamline tax filing and minimize liability 
  • Keep accurate and organized records of tax filings and payments 
  • Investigate and resolve variances, communicating findings to clients as necessary 
  • Support audit processes by providing required documentation and responding to tax authority inquiries  
  • Collaborate with internal departments and clients to resolve tax-related issues and answer inquiries 
  • Stay informed about changes in tax legislation as communicated by clients 
  • Partner with accounting and accounts payable teams to ensure tax accuracy and completeness 
  • Other duties as assigned 

Education/Training/Experience:  

  • Bachelor’s degree in Accounting, Business, Finance, or a related field preferred, equivalent experience may be considered 
  • Minimum of 2 years’ experience in tax preparation preferred 
  • Experience in the hospitality industry is a plus 
  • Strong customer service skills within a professional services environment required  
  • Experience using accounting software such as Quick Books, Peachtree, SAP, Great Plains required; experience with Accounting Core is strongly preferred  
  • Competency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook  
  • Must have strong written and verbal skills in English

Physical Requirements: 

  • Ability to sit and/or stand for extended periods. 
  • Ability to perform work on a computer for extended periods.  
  • Ability to work in the office regularly, or pivot to working at home should emergency situations arise.  
  • Ability to attend work per assigned schedule and attend meetings with excellent attendance and punctuality. 
  • Ability to bend and lift up to 25 lbs.  
  • Ability to travel in representing the company’s interests as required.
