This is a remote position.

Virtual Rockstar is seeking a full-time Administrative Assistant to help elevate our client’s physical therapy clinic to its next level of growth and impact.

About our client:

At Athletic Pursuit Physical Therapy, we specialize in helping athletes and active adults get out of pain and return to the sports and exercises they love—stronger than ever. Our clinic combines physical therapy with strength & conditioning and athletic performance to treat the whole person for long-term success, not just quick fixes.

Founded 1.5 years ago by a dedicated solo provider, our practice is growing quickly, and we’re looking for the right person to help support our mission—and free up time for continued growth and expansion.

Responsibilities

Administrative Support

  • Manage calls, texts, and emails with professionalism and care

  • Schedule and confirm patient appointments

  • Respond to patient inquiries and follow-ups

  • Help onboard new patients and manage PT referrals

  • Maintain EMR records (Jane) and update patient files

  • Generate invoices and manage basic billing tasks

  • Run reports and assist with data entry

  • Build and manage simple systems and SOPs to improve clinic operations

  • Support email inbox management and internal communications

Marketing & Growth Support

  • Assist with social media posting (Instagram, Facebook)

  • Create simple graphics and materials using Canva

  • Maintain marketing and content calendars

  • Support patient engagement campaigns (newsletters, feedback requests, review responses)

  • Manage CRM (Hubspot) to track patient leads, relationships, and follow-ups



Requirements
  • Highly organized and detail-oriented

  • Friendly, clear communicator with great written and verbal English skills

  • Comfortable with multitasking and working independently

  • Creative, proactive, and willing to take initiative

  • Interested in health, wellness, fitness, or physical therapy (a bonus!)

  • Excited to grow with a business and take on more responsibility over time

Preferred (but not required) experience with:
  • EMR: Jane

  • CRM: Hubspot

  • Phone & Messaging: OpenPhone

  • Canva

  • Google Workspace (Docs, Gmail, Chat)

  • SRFax or similar platforms

  • Social media tools & trends
