Job Description We are looking for an experienced Lead Generation and Intake Coordinator to manage and convert inbound digital leads into scheduled client assessments who will play a key role in replacing third-party lead handling systems by owning the full intake process — from first contact to appointment scheduling.
Responsibilities
Handle the full lead cycle — from the initial inquiry to securing an in-home assessment appointment.
Monitor and respond promptly to all inbound digital leads from email, website, and other online platforms.
Conduct follow-up calls and outreach to cold/warm leads to schedule in-home assessments.
Track all lead touchpoints, status changes, and next steps across CRM and WellSky systems.
Communicate lead updates in real time with the Administrator and internal scheduling team.
Manage intake documentation and ensure all client records are current and accurate.
Assist in developing a smooth intake workflow, replacing third-party systems like ProNexus.
Occasionally provide light administrative support related to intake or client onboarding tasks.
Requirements
College educated.
Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring.
Candidates must provide a proof of separation from their previous/current employer with an indication/confirmation of their last date of employment.
Must be comfortable with using Hubstaff, a time-tracking application.
Professional-level English (written and verbal/voice).
Strong verbal communication skills to confidently engage and convert digital leads.
Experience in healthcare, sales, or lead generation preferred.
Excellent organization and lead tracking habits across platforms.
Assertive, self-driven, and capable of managing follow-ups without supervision.
Prior experience in sales, lead generation, or intake coordination (healthcare or service industries preferred).
Must be available to work weekdays and occasional weekends if needed based on business needs.
Proven expertise in using CRM systems like WellSky is preferred.
Highly organized with the ability to manage multiple tasks and prioritize effectively.
Professional, motivated, and adaptable with strong interpersonal skills.
Experience using any Customer Relationship Management tool, Zoom, and internal phone systems is a plus.
Computer or laptop with access to the internet (min speed of 25 Mbps).
