Work Arrangement: Fully remote
Job Type: Full-time
Work Schedule: 9 AM - 6 PM PST with flexibility for overtime
Time Zone: Pacific Time (PST)
Holiday Orientation: US Holidays

Role Overview
The Executive Assistant (EA) will support senior leaders by managing schedules, emails, and daily operations. This role requires excellent organization, confidentiality, and the ability to work independently in a fast-paced environment.

Key Responsibilities

Schedule & Email Management

  • Plan and coordinate meetings across multiple time zones
  • Manage email inboxes, prioritize messages, and summarize key points
  • Send reminders for important deadlines and follow-ups
  • Adjust schedules as needed to accommodate urgent requests

Administrative Support

  • Handle office-related tasks, including ordering meals and supplies
  • Assist with data entry, file organization, and travel arrangements
  • Support personal tasks for executives when required
  • Identify ways to streamline workflows and improve efficiency
  • Maintain organized records and ensure quick access to important documents

Process Improvement

  • Identify ways to streamline workflows and improve efficiency

  • Suggest better tools or methods for communication and scheduling

Requirements

Must-Have
  • Experience as an Executive Assistant or in a similar support role
  • Strong organization and time management skills
  • Proficiency in Google Workspace, Zoom, and Slack
  • Ability to work independently, take initiative, and solve problems
  • High attention to detail and confidentiality
  • Flexibility to handle urgent tasks outside regular hours
Nice-to-Have
  • Experience in climate tech, AI, or energy industries
  • Familiarity with Salesforce or similar tools
  • Experience supporting senior executives
  • Comfortable working in a startup with limited public information
