Position Title: Operations Assistant
Work Set-up: Work from Home
Schedule: 10:00 PM – 7:00 AM
Salary: Php 40,000 – Php 60,000

We are looking for an Admin Support professional who will report directly to the Operations Manager. This person will be responsible for tasks of various complexity related to business operations at a very busy engineering firm. This role is ideal for a proactive, hardworking individual with excellent communication skills who is interested in contributing to a company that prioritizes environmental sustainability and community welfare.

JOB DESCRIPTION FOR AN OPERATIONS ASSISTANT


Responsibilities as an Operations Assistant:
• Process monthly invoices to clients and follow up on outstanding collections items.
• Maintain all business certifications and licenses; regularly engaging with state and federal agencies.
• Assist in contracting tasks.
• Coordinate efforts related to business certificates of insurance and ensure that insurance renewals happen in a timely manner.
• Handle project setup and close out.
• Assist in human resources related tasks such as recruiting, time keeping, payroll, and benefits.
• Support staff with various requests related to software and equipment needs.
• Processing payments to vendors and clients.
• Financial reporting and analysis.
• Other assigned tasks as needed.

Qualifications as an Operations Assistant:

• Bachelor’s degree in Business Management or related field.
• 4-6 years of experience in operations, business administration, or similar role.
• Experience in the Architectural, Engineering, Construction A/E/C industry preferred.
• Proficient in Microsoft Office Suite and Adobe Pro.
• Excellent knowledge if business operations and best practices.
• Familiarity with financial and accounting principles.
• Ability to handle multiple simultaneous deadlines in a fast-paced environment.
• Excellent command of English (both written and spoken).
• Proactive, detail-oriented, and organized with the ability to manage multiple tasks.
• Strong communication and interpersonal skills, with a positive attitude and a team-oriented approach.
• Ability to work independently and take initiative.
• Genuine interest in the company’s mission to help people, communities, and the environment.
