PositionGeneral Virtual Assistant (Executive Assistant Focus)

Working Hours: US Business Hours

Hiring Company: We are a 10 year old remote staffing business with a fully remote team of 100+ employees. We started as a customer service agency, but have leveraged our client experience and technical acumen to become the industry's first AI empowered (human) virtual assistant service.

About the Role:

We are seeking a Sales Virtual Assistant to support our sales initiatives by managing prospecting efforts, handling client communication, and assisting with CRM updates. This role is ideal for someone with experience in lead generation, cold outreach, and sales pipeline management. If you have a strong background in sales support, excellent communication skills, and proficiency in sales tools, we’d love to hear from you.

Key Responsibilities:

Sales Support (50%)

  • Assist in identifying and qualifying leads through research and outreach
  • Manage outbound cold calls, emails, and follow-ups to engage potential clients
  • Handle appointment setting and calendar coordination for sales calls
  • Update and maintain CRM systems (HubSpot, Salesforce, Pipedrive, or similar)
  • Track and report sales metrics, ensuring accurate pipeline forecasting
  • Assist with preparing sales proposals, contracts, and presentations
  • Conduct market research to identify new business opportunities

General Operations Assistance (50%)

  • Manage and organize sales-related documents and reports
  • Handle email and inbox management, responding to inquiries professionally
  • Update project management tools such as Asana, Trello, or ClickUp
  • Support internal team coordination and communication
  • Assist with administrative tasks to streamline sales processes

Requirements

Qualifications:

  • 1+ years of experience as a Virtual Assistant, preferably with a focus on sales support
  • Proven experience in lead generation, cold outreach, and appointment setting
  • Proficiency in CRM tools such as HubSpot, Salesforce, Pipedrive, or similar
  • Strong general business support skills, including:
    • Administrative assistance
    • Calendar and schedule management
    • Email and inbox handling
    • Basic documentation and reporting
  • Excellent English communication skills (written and verbal)
  • At least 1 year of remote work experience
  • Strong attention to detail and ability to work independently
  • Proficient in project management tools such as Asana, Trello, or ClickUp
  • Familiarity with AI tools like ChatGPT, Claude AI, Gemini, Notion AI, and Canva AI (preferred but not required)

Nice-to-Have Skills:

  • Experience in B2B or B2C sales
  • Knowledge of sales automation tools and email sequencing platforms
  • Familiarity with LinkedIn Sales Navigator and other prospecting tools
  • Basic graphic design skills (Canva, Adobe Express) for sales presentations

Technical Requirements:

  • Stable high-speed internet with backup
  • Computer (laptop or desktop) with recommended quad-core CPU 2.5GHz+, RAM 8GB+, and dual monitor
  • Headset, mic, and webcam for meetings
  • Dedicated and distraction-free workspace
