Job Title: Executive Assistant to Director

Role Responsibilities:
  • Manage the Director's calendar and schedule meetings efficiently.
  • Prepare and organize documents for meetings, ensuring all materials are ready.
  • Act as a liaison between the Director and internal/external stakeholders.
  • Coordinate travel arrangements, including bookings and itineraries.
  • Draft and proofread correspondence on behalf of the Director.
  • Assist in the development and tracking of projects and initiatives.
  • Handle confidential information with integrity and discretion.
  • Maintain filing systems and electronic documents for easy access.
  • Prepare reports and presentations as needed.
  • Ensure timely follow-up on action items from meetings.
  • Organize company events and team-building activities.
  • Respond to inquiries and requests in a timely manner.
  • Support the Director in day-to-day operations and administrative tasks.
  • Maintain up-to-date knowledge of the organization’s activities and priorities.
  • Contribute to continuous improvement initiatives within the administrative team.
  • Assist with ad-hoc projects and other duties as assigned.
Qualifications:
  • Bachelor's degree in Business Administration or related field preferred.
  • Proven experience as an Executive Assistant or similar role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks and manage time effectively.
  • Strong organizational skills with a keen attention to detail.
  • Demonstrated ability to work independently and as part of a team.
  • Experience with project management tools is a plus.
  • High level of professionalism and discretion.
  • Comfortable with technology and quick to adapt to new tools.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Strong problem-solving abilities and proactive approach.
  • Demonstrated adaptability and flexibility in a dynamic work environment.
  • Strong interpersonal skills and a friendly demeanor.
  • Willingness to learn and develop professionally.
  • Prior experience supporting C-suite executives is a plus.
