Job description

Here at Labster, we are seeking a Senior Global Payroll Specialist to join our finance team. The primary responsibility of the Senior Global Payroll Specialist will be to process our global payrolls. The ideal candidate will have experience in US Payroll and working with third party payroll providers in Europe. This position will report to the Finance Director, and is an excellent opportunity to help lead an organization through a transformative time in the business. Responsibilities


Payroll Processing & Compliance
Coordinate and oversee the annual 401K audit and ensure adherence to all relevant retirement plan regulations.

  • Manage and process monthly European payrolls through third-party providers across various entities, including Spain, Denmark, the UK, Canada, and Switzerland.
  • Prepare and execute bi-weekly payroll for the U.S. entity using ADP, ensuring compliance with federal, state, and local regulations.
  • Maintain strict compliance with international and domestic payroll regulations, including monitoring payroll-related tax compliance in the U.S. and other countries.


Financial Reconciliation & Reporting
Assist in the annual financial audit by preparing payroll-related reports and responding to auditor inquiries.

  • Record, book, and reconcile all payroll-related transactions in NetSuite (ERP), including payments, benefits, social security, and retirement contributions.
  • Review bonuses and sales commissions calculations.
  • Review, book, and reconcile payments for subcontractors (EoR – Employee of Record) to ensure proper financial tracking.
  • Perform month-end reconciliations and financial analysis, including reviewing vacation liabilities, tax liabilities, and benefit liabilities.


Process Optimization & Cross-Department Collaboration

  • Serve as the main liaison between the Finance and People Departments, ensuring seamless communication regarding payroll-related matters such as new hires, terminations, leaves of absence (maternity, parental, etc.), and benefit adjustments.

  • Continuously streamline and enhance payroll processes, identifying areas for automation and efficiency improvements in collaboration with Finance and People teams.


Competencies & Skills

  • 5+ years of experience preparing Payroll (preferably international payrolls)
  • Critical thinking and highly motivated
  • Preferred experience with ADP, Humaans, NetSuite, Excel, and Google Sheets
  • A plus if you have experience with working in multinational companies (various regulatory frameworks)
  • Exceptional analytical skills coupled with a solid understanding of business dynamics
  • Strong communications skills and ability to work cross-functionally and with the senior leadership team
  • Verbal and written fluency in English
  • Proven track record of delivering on commitments, and working closely & effectively with peers and leaders outside of the Finance team
