As the Event Projects & Operations Specialist, you will be supporting the planning, operations, and production of key events, including the Grace Hopper Celebration (GHC), the world’s largest conference for women and non-binary technologists. You will report to the Director, Global Events, and will provide support across multiple aspects of our event operations. You will also manage specific aspects of our events, such as Networking, Receptions, and Attendee Activations.

Here's what you'll do  
  • Responsible for supporting event operations, event platforms and on-site logistics, ensuring a successful and seamless experience for attendees while adhering to stakeholder expectations.
  • Assisting Global Events team with attendee registration process, including online platforms and data collection.
  • Contribute to the successful execution of GHC as well as other AnitaB.org events, by leading and managing assigned projects. Projects include but are not limited to Attendee Networking, Receptions, Activations, Lounges, Expo and Career Fair, in-person as well as virtual.
  • Monitor and track the progress of internal and external partners as needed for the successful execution of assigned tasks and projects. Partners include Event Management Company, AV provider, catering, staffing, transport, shipping, and other vendors.
  • Collaborate across departments on assigned projects and workstreams.
  • Monitor and manage the budgets and timelines for assigned projects and workstreams.
  • Complete additional tasks as assigned, which means to be agile and rise to the challenge: in service to our mission, from time to time, we do ask team members to take on, or volunteer to take on, additional or different duties outside of their formal job description.

  • Professionalism in team and external stakeholder interactions and communications, including honesty, integrity, respect.
  • 3+ years of event planning/operations/management experience for large scale events.
  • Project management expertise to execute complex events with extensive understanding of project management tools.
  • Experience working with multiple vendors.
  • Good understanding of all aspects of events: platforms, registration, operations, production, content.
  • Ability to stay on task and meet multiple deadlines and deliverables, simultaneously, as well as keeping contributors on task.
  • Ability to remain calm under pressure.
  • Enthusiastic about learning and using new technology.
  • Experience preparing and leading meetings with internal & external stakeholders.
  • Experience with in-person and virtual events.
  • Ability to travel as position requires.

The salary range for this position is $66,523 - $68,818, plus competitive benefits, including health insurance, vision, dental and a 403(b) discretionary match.
