Job Description

As a Virtual Executive Assistant, you’ll be the linchpin in a fast-paced, project-driven environment, supporting a successful touring artist in the progressive Jewish music scene. This role offers an exciting blend of project management, travel coordination, and client communication, all while working remotely. You’ll be responsible for juggling multiple ongoing projects, managing a constantly evolving performance schedule, and ensuring seamless communication with clients and team members. This position is perfect for a highly organized individual who thrives on variety and has a passion for the arts and music industry. You’ll have the opportunity to utilize cutting-edge project management tools, update website content, and play a vital role in the artist’s continued success.

Responsibilities
  • Masterfully manage 10+ concurrent projects using ClickUp, keeping all tasks and deadlines on track
  • Orchestrate complex travel arrangements for performances, ensuring all logistics are flawlessly executed
  • Serve as the primary point of contact for client communications, handling emails and occasional phone calls with professionalism and warmth
  • Craft and maintain weekly agendas, guaranteeing timely follow-ups and task completion across all projects
  • Curate and update the artist’s event calendar on their Squarespace website, keeping fans informed and engaged
  • Organize financial documents, including receipts and invoices, to support smooth bookkeeping processes
  • Collaborate effectively with various team members, including booking agents and accountants, to ensure cohesive operations
  • Implement and maintain organizational systems to categorize and manage incoming information from diverse sources



Requirements
  • Proven expertise in project management tools, particularly ClickUp, or a demonstrated ability to quickly master new software
  • Exceptional organizational skills with a talent for juggling multiple priorities in a fast-paced environment
  • Outstanding written and verbal communication abilities, with a knack for clear and concise correspondence
  • Proficiency in common business software including Dropbox, Calendly, and QuickBooks
  • Familiarity with website content management systems, especially Squarespace (experience a plus, but not required)
  • Self-motivated with the ability to work independently and proactively manage tasks
  • Cultural sensitivity and enthusiasm for working within diverse communities, particularly in the Jewish arts scene
  • Flexibility to occasionally handle personal tasks if business needs don’t fill the full 20 hours
  • Comfort with periodic video meetings for face-to-face interactions and project reviews
