Job description

This is a remote position.

Scope:
Full-time (40 hours a week)
Mon-Fri 8am -5pm EST includes 1 hr unpaid break


Job Overview:
We are seeking a highly organized and detail-oriented Hybrid Customer Support/Outreach Specialist to support our team in various administrative tasks, customer communication, and payment collection. The ideal candidate must be fluent in both English and Spanish, have excellent communication skills, and be comfortable handling scheduling, customer support, and basic bookkeeping tasks. This role is a perfect blend of customer outreach, administrative support, and organizational tasks.

Key Responsibilities:

  1. Administrative & Scheduling Support

    • Assist with scheduling appointments and job bookings for customers.
    • Maintain accurate and up-to-date customer records within the scheduling system.
    • Manage backend administrative tasks to ensure smooth operations and support for the team.
  2. Customer Communication & Payment Collection

    • Answer incoming calls and respond to customer inquiries in both English and Spanish.
    • Handle payment collection from customers and ensure all necessary documentation is properly maintained.
    • Follow up with customers post-sale, ensuring their needs are met and any concerns are addressed promptly.
  3. Lead Management & Organization

    • Maintain an organized and efficient record of leads and customer interactions.
    • Track customer inquiries, ensuring timely and accurate follow-ups are completed.
    • Ensure smooth communication with prospective clients, providing updates and information as needed.
  4. Basic Bookkeeping (Preferred but Not Required)

    • Assist with tracking payments and maintaining financial records.
    • Support general bookkeeping tasks as needed, including data entry and reconciliation.


Requirements

Qualifications & Skills:

  • Fluency in English and Spanish (both written and spoken) is a must.
  • Strong organizational and detail-oriented skills to handle multiple tasks effectively.
  • Experience in customer service, scheduling, or administrative support.
  • Comfortable using CRM systems and scheduling software.
  • Ability to manage payment collection and handle basic financial tasks.
  • Strong communication skills and a friendly, professional demeanor.
  • Basic bookkeeping knowledge is a plus, but not required.
