Job description

About the Role

We are seeking a detail-oriented and organized Staffing Operations Assistant to support our Staffing Coordinator in ensuring accurate and timely workforce reporting and administrative support. This is a fully remote, entry-level role open to candidates anywhere in Mexico.

The ideal candidate has at least 2 years of experience in an administrative or support role, possesses basic Excel knowledge, demonstrates strong attention to detail, and has good written English skills.

Key Responsibilities
  • Data Entry & Timekeeping:
    • Input and maintain weekly staffing reports accurately.
    • Ensure proper hour submissions by resources and follow up on missing entries.
    • Monitor worked hours in company projects and track hour consumption.
    • Remind resources to enter their worked hours into the company portal.
  • Invoice & Billing Support:
    • Verify invoices for accuracy before submission to the accounting department.
    • Assist in tracking and reconciling hours worked vs. invoices generated.
  • Administrative Support:
    • Maintain and organize staffing-related data and reports.
    • Assist the Staffing Coordinator with operational tasks and documentation.
    • Communicate professionally via email with internal teams regarding timesheets and staffing updates.
Qualifications
  • Experience: At least 2 years in an administrative or support role.
  • Skills:
    • Basic knowledge of Excel (data entry, simple formulas, sorting & filtering).
    • Strong attention to detail to ensure data accuracy.
    • Good written English skills for clear and professional communication.
    • Ability to work independently in a remote environment.
Preferred Qualifications
  • Experience working in staffing, HR, payroll, or workforce operations is a plus.
  • Familiarity with time-tracking or workforce management tools is beneficial.
