About the role...

The Marketing Coordinator for the Marketing & Communications Departments will play a key role in ensuring the smooth operation of day-to-day business functions by providing administrative support across these two departments. This individual will be responsible for coordinating administrative tasks, managing schedules, and facilitating communication among team members. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Road Scholar offers a remote work environment. The compensation range for this non-exempt/hourly position is $22.00 - $25.00 per hour based on experience. 

In this role, you will...

  • Coordinate administrative activities for the Marketing and Communications departments
  • Manage mileage reimbursements for Ambassadors, applying vouchers, sending brochures
  • Approving new applications for social media tool, rewards reports/fulfilment, manage special dates and anniversaries doc
  • Review press mentions, compile in database and create monthly report
  • Manage new hire meet and greets
  • Manage department gifts and “parties” (anniversaries, new hires, baby/wedding showers, etc.)
  • Lead quarterly game nights
  • Keeping Marketing/Comms inRoad page, including map, and “Who Does What” pages up to date
  • Create vouchers for bloggers
  • Manage calendars, schedules, and appointments for executives and other staff members
  • Organize meetings, conferences, and events, including booking venues, arranging catering, and preparing materials
  • Take meeting notes and distribute to attendees in a timely manner
  • Prepare and distribute correspondence, memos, and reports as needed
  • Maintain and update databases, records, and filing systems
  • Handle sensitive information with confidentiality and discretion
  • Book and arrange travel arrangements for team members
  • Prepare expense reports for team members
  • Assist with special projects and initiatives as assigned

We're seeking...

  • 2+ proven years experience as an administrative coordinator, administrative assistant, or similar role
  • Bachelor's degree preferred, or equivalent experience 
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Strong verbal and written communication skills, with a high level of professionalism
  • Ability to work independently with minimal supervision and as part of a team
  • Attention to detail and accuracy in all work performed
  • Problem-solving skills and the ability to adapt to changing priorities
