Virtual Rockstar is seeking a Medical Virtual Assistant to support our client’s practice, focusing primarily on insurance verifications and prior authorizations. This role offers the potential for growth into additional administrative tasks and responsibilities, supporting both therapists and patients. The ideal candidate will have experience with QuickEMR, Google Workspace, and Microsoft Excel.

Responsibilities:
Insurance Verifications & Prior Authorizations: Verify insurance benefits for patients and secure prior authorizations for treatments and procedures.
Patient Scheduling & Tracking:
Review weekly patient lists and ensure that all patients are scheduled for upcoming appointments.
Track patients requiring 10th visit progress notes, Plans of Care, and 6th visits (for PTAs and COTAs).
Documentation & Notes:
Ensure patient in and out times are accurately recorded in their treatment notes twice per day.
Create treatment notes for each patient at the beginning of the day.
Ensure that discharged patients have all necessary information scanned into their medical records.
Patient Follow-Ups:
Make follow-up calls to discharged patients to check on their progress.
Contact patients post-session to follow up on their treatment and provide support.
Send exercise and treatment plans to patients.
Appointment Management:
Assist with appointment rescheduling as needed.
Help manage therapist and patient schedules to optimize daily workflows.
Data Entry & Reporting:
Input data from handwritten evaluation notes into the EMR system.
Record weekly statistics in Microsoft Excel.
Assist with basic report generation.
General Administrative Tasks:
Answer phones during noon hour and between 4-5 pm.
Assist with email correspondence and document management.
Complete paperwork for Durable Medical Equipment (DME) providers (primarily Zynex).
Ensure that signed documents from physicians are returned in a timely manner.
Follow up with patients for feedback on their care.
Proficiency with QuickEMR, Google Workspace, and Microsoft Excel preferred.
Strong attention to detail and organizational skills.
Excellent communication skills, both written and verbal.
Ability to work independently and be proactive.
Previous experience in a medical administrative role is a plus.
