Job Highlights:
Contract: Independent Contractor
Work Schedule: Monday to Friday, 9:00 am to 6:00 pm Singapore Time with 1 hour unpaid break, 40 hours a week.
Responsibilities:
Provide a full range of administrative support to the team including:
• Scheduling & Meeting Coordination:
Coordinate scheduling and arrange appointments, meetings, conference calls, and
virtual meetings, including taking minutes, call logs, and video recordings.
• Travel & Expense Management:
Arrange and manage travel logistics, including the preparation, submission, and
tracking of billing, expenses, and claims.
• Monthly Report Management:
Chase for the timely submission of monthly reports and ensure the report list is up
to date.
• Biweekly Personnel Updates:
Update and maintain records of key personnel’s directorships and shareholdings on
a biweekly basis.
• Ad-hoc Administrative Support:
Provide general administrative assistance, including data entry, document
management, and other tasks as assigned.
• Onboarding Schedule Preparation:
Assist in preparing and managing the onboarding schedule for newcomers, ensuring
new hires are integrated smoothly into the organization.
Requirements
• At least 3 years of executive secretarial or related experience, preferably in fast-
paced environments such as financial services, legal, start-ups, or similar work environments.
• You also need to be discerning, discreet and professional.
• Good sense of work prioritization/time management skills and attention to
detail.
• Demonstrated ability to manage complex tasks and prioritize competing
demands to meet deadlines.
• Excellent verbal and interpersonal skills.
