About the Position:

The Grants Administrator leads the development of the Request for Proposals, serves as the principal liaison with the Grant Management software platform, coordinates the scoring of proposals with reviewers, and assists with awarding, contracting and subsequent management of all proposals. 

Temp Assignment: 3-4 months duration
Hourly wage: $65 - $70.00
Location: Metro Los Angeles area candidates only
**Preferred Experience with Blackbaud and/or Fluxx software**

  What You Will Do:

  • Work closely with Grants, Contracts and Development; Chief Operating Officers; Program Manager; and Finance to plan, design, develop and implement all areas of multiple Request for Proposals in an online grant management software platform.
  • Coordinate the process for, aggregate, and provide detailed reports on the Letter of Intent process indicating the geographic and program distribution of potential applicants.
  • Prepare and deliver bidder’s conferences on all RFP subject areas.
  • Provide guidance, answer questions, and provide technical assistance at bidders’ conferences, through the release of addenda, and throughout the RFP process until the designated RFP due date.
  • Coordinate technical assistance with Amity’s designated grant management software platform to ensure the RFP process and subsequent reporting process are accessible and user-friendly for all applicants/grantees.
  • Coordinate the recruitment of potential reviewers, provide training to reviewers, assign reviewers to review proposals, and ensure they meet internal deadlines for review completion.
  • Conduct/coordinate a pass/fail Technical Review as needed for all proposals.
  • Develop reports to share with Project Team to ensure that the list of potential awardees represents a diversity of organizations and meets contractual obligations.
  • Develop letters of award to all selected grantees.
  • Coordinate post-award information potentially including but not limited to signed contracts, W-9s, Certificates of Insurance, and other contract documents.
  • Ensure Grant Management System post-award data entry will collect the performance measures and payment measures needed to ensure payments and compliance.
  • Be aware of the status of individual grants and be able to provide program officers with advice and support in resolving compliance issues.
  • Prepare, execute, and file agreements, payments, and approvals, as part of administering each grant from eligibility to completion, including troubleshooting challenging situations with applicants, grantees, Program Officers, and the accounting team throughout the lifecycle of the grant.
  • Serve as advisor for grants administration practices.
  • Develop procedures manual for all grants administration practices, processes, and systems.
  • Process new registrations in Amity-designated Grantmaking software and providing account support to Grantmaking software users.
  • Prepare reports on information included in Amity-designated Grantmaking software for the use of other teams.
  • Assist with training other staff in using Amity-designated Grantmaking software.
  • Participate actively in team-level discussions in areas like strategy, diversity equity & inclusion, and ways of working together more efficiently within Grants Administration and interdepartmentally.
  • Provider supervision of Grant Managers with regards to technical aspects of grant administration including their ability to provide relevant technical assistance regarding grant deliverables, on-time submission of reports, and relevant follow-up.
  • Other duties as assigned.

What You Will Bring:

  • Bachelor’s degree preferred.  3-7 years of progressive work experience in the non-profit sector or related relevant experience.
  • Minimum of one (1) year Grant-making administration experience to community-based grantees.
  • Experience using and developing grant management systems such as Blackbaud, Fluxx, Salesforce, or other systems used to develop an RFP and implement effective programs and systems to support grantees in the administration of their projects.
  • Exceptional organizational and project management skills, with the ability to independently coordinate and lead multiple projects simultaneously focusing on quality and project follow-through.
  • Ability to establish effective working relationships with staff, groups, agencies, officials, departments, and boards and manage expectations and priorities from various partners.
  • Ability to interpret rules, regulations, guidelines, and legislation as they pertain to financial or reporting responsibility.
  • Basic understanding of grantmaking regulations and request for Proposal development knowledge.
  • Ability to schedule, coordinate and provide comprehensive training using online formats.
  • Analytical, database, and reporting skills along with the ability to prepare recommendations for courses of action.
  • Ability to craft and review budgets, financial reports, and programmatic reports with a sharp eye for accuracy and detail.
  • Ability to frame issues and communicate technical, budgetary, and program details across all functions and to various partners.
  • Confidence to ask pertinent questions to grasp concepts quickly and think beyond specific tasks.
  • Flexibility and ability to learn and develop new skills on the job.
  • Excellent written and verbal communication skills.
  • An ability to balance time efficiently, adhere to strict deadlines, and multi-task in a fast-paced environment.
